Job Summary / Basic Function

Essential Duties Include:

This individual will assist the Director with all aspects of the New Student Orientation program. This individual will support new first-year and transfer students with their transition to the university and be a resource for the commuter student population. This individual must be empathetic, patient, and skilled at developing and maintaining positive relationships. This individual will work to ensure that information communicated to parents and other family members meets their needs and satisfaction as an essential stakeholder. The primary objective is to build relationships with parents and student supporters and keep them informed and engaged so they can serve as partners with the University in ensuring students are aware of critical information necessary for their success. This individual will also advise and work with the Student Activities Board and facilitate the Commuter and Non-Traditional student service program as well as the Parent and Family Engagement program at the California campus.

New Student Orientation:

  • Assist in the management, development, budgeting, organization, execution, and evaluation of all aspects of fall and spring NSO events including, but not limited to:

  • Assist in the planning and implementation of the overall NSO program.

  • Problem solve day-of issues during the execution of the NSO program.

  • Provide guidance and customer service to new students and families to foster satisfaction and progress matriculation to the University.

  • Assist with the creation a comprehensive communication plan for the purpose of increasing registration for and participation in the NSO program, and partner with the communication center to disseminate communications through the Slate system.

  • Complete campus requests to schedule various campus locations to be used for NSO.

  • Assist with the development of NSO Brochure and various marketing materials in conjunction with Public Relations/Marketing.

  • Recruit, interview, select, train and supervise NSO Leaders.

  • Develop training schedule and sessions for NSO Leaders.

  • Direct the development and distribution of the NSO packets to be distributed to all accepted students.

  • Compile assessment data from the NSO evaluations and make recommendations for effectiveness and continuous improvement.

  • Develop opening session activities including verifying presenters, organizing presentations, and all logistics.

  • Recruit, interview, hire, train, and supervise a Student Development work-study and Graduate Assistant for the academic year.

  • Inventory NSO materials and giveaways on a consistent basis and request additional quantities as needed.

  • Implement, organize, and distribute parent postcards to new resident and commuter students in their first semester.

  • Collect parent/guest contact information used for the completion of parent/family communications and initiatives during the academic year.

Parent & Family Engagement:

  • Maintain regular communication with PW California parents and families to keep them informed and engaged for the purpose of enhancing student academic success and increasing overall satisfaction with the PennWest California college experience.

  • Serve as the primary liaison between PennWest California and the family members of its students by responding to student and family concerns, problems, challenges, and crises, as appropriate.

  • Direct a comprehensive communications plan to provide families with relevant and timely information. This includes, but is not limited to, creating and managing e-news publications, annual parent guides, web site and social media content, and respond to incoming emails and calls.

  • Keep parents and supporters informed and engaged so that they are able to serve as partners with the university in ensuring that students are aware of critical information such as registration deadlines, add/drop deadlines, etc.

  • Assess parent and family interests and needs for communication, services and evaluate programmatic offerings for effectiveness and continuous improvement of programs and services.

  • Partner with other departments to jointly sponsor, promote, and support parent/family related activities and to explore new ways to engage parents and family members.

  • Plan, implement and assess parent and supporter events for PW California.

  • Manage and oversee the parent/guest portal, serve as the portal contact person for students, families, and PennWest employees.

  • Provide training on the parent/guest portal for families, guests and students.

  • Collaborate with the Registrar to provide current FERPA regulations to parents, guests and students.

  • Develop online and print materials for supporting the usage and understanding of the parent/guest portal.

Commuter and Non-Traditional Student Services:

  • Oversee services for the commuter and non-traditional student population that are diverse in composition with respect to age, proximity to campus, personal and academic schedules, and depth of co-curricular and academic involvement.

  • Collaborate with Student Outreach and Success and other areas on campus to identify retention initiatives for commuter students to increase in engagement and improve persistence.

  • Create and promote educational, information and developmental opportunities and events for commuter students to engage in campus life with faculty, staff and on-campus students with special emphasis on new students.

  • Provide leadership and advocacy in campus efforts to identify commuter needs, increase services and foster opportunities for commuter engagement on campus.

  • Create a communication network for commuter students that included the relevant use of campus technology, web resources, and the social media initiative.

  • Provide advisement and guidance for the commuter and non-traditional student organizations.

  • Assist in the management of all fiscal aspects of the commuter services and non-traditional student programs through the University and the Student Association, Inc.

  • Serve as a primary resource to faculty and staff seeking to engage commuters through the dissemination of information and resources on commuter issues and needs.

Student Activities and Programming:

  • Assist Student Activities Board (SAB) in establishing their programming schedule for each year, advise and coordinate the schedules, procedures, and budget necessary to present programs, including special events, performing arts, lectures, concerts, novelty and variety events, films, recreational events, etc.

  • Review contracts, including advising students in the negotiation of contracts, talent, goods and services.

  • Coordinate the annual budget request to cover the funding for the following academic years programming needs.

  • Give guidance to the SAB members with record keeping and the processing of payments for events and make sure they stay within their budget.

  • Work to organize weekend programming and to arrange for the advertising of these events. Continual maintenance and planning of the schedule throughout the year is required.

  • Meet with students and representatives from different departments and organizations to identify opportunities for collaboration and co-sponsorship of events.

  • Assist in the planning all leadership retreats used to acclimate and train the new and returning SAB members.

  • Be knowledgeable of the SAB constitution to ensure that elections are timely and constitutional changes are made in a proper manner.

  • Work with numerous agents and agencies to establish a good working relationship between SAB/California University, community and these professionals.

  • Consistently seek recruitment of new students to the organization, that represent the diverse wants and needs of our campus population.

  • Conduct weekly one on one meetings with committee chairs.

  • Oversee large scale events and concerts conducted by SAB.

Other Duties Include:

  • Assist with the execution of the Welcome Weekend program as requested/approved by the Director

  • Serves on appropriate divisional/institutional committees as requested/approved by the Director

  • Ensures that university and system diversity, equity and inclusion initiatives are reflected in the programs and services

  • Perform other duties as assigned by the Director of Student Development

Required Skills, Knowledge & Abilities Minimum of Education / TrainingRequired Education Summary

  • Bachelor's degree required.

  • Experience in Microsoft Office software, including word processing, spreadsheets, and PowerPoint required.

Preferred Qualifications

  • Master's degree in College Student Personnel, Education, Counseling, Communications, or a related field is preferred.

  • Experience working in first year programs is preferred.

  • Preferred experience in educational programming that required extensive communication and interaction with students and parents.

  • Demonstrated understanding of university academic policies and procedures, academic structure, the academic calendar, terminology unique to the higher education culture, financial aid information, housing information, etc.

  • Demonstrated understanding of mentoring, first-year student theories and student development theories.

  • Excellent interpersonal and oral communication skills, including a proven effectiveness in speaking on a one-on-one basis and making oral presentations before groups.

  • Knowledge of national trends, current issues, including health and wellness, and best practices in higher education, especially those involving parents, orientation programs, and first-year student success.

  • Knowledge of Slate, D2L, and CampusESP systems.

  • Experience working with diverse students, families, and communities.

  • Successful candidates must have the ability to work effectively in teams and individually in a fast-paced environment.

  • Cross campus travel may be required.
