Title: Assistant Director of Sponsored Projects

Reporting to the Executive Director of Sponsored Projects, the Assistant Director of Sponsored Projects provides planning, assistance, and support to faculty, administrators, and staff in all areas of sponsored research in pre-award and non-financial post-award. The Assistant Director will assist with providing support for sponsored research administration.

Principle Responsibilities:

  • Responsibilities include but are not limited to pre-award grant development, budgeting, and proposal submission.

  • Develops and maintains a proposal submission structure that facilitates the submission of grant applications aligned with the LIU2030 Strategic Plan.

  • Maintains the Pre-Award inventory list of all active grants.

  • Manages the various registries and other electronic proposal award and submission websites to assure eligibility and compliance.

  • Analyzes and summarizes the potential of various federal and state, and upon occasion, private foundation funding opportunities.

  • Provides leadership and coordination for teams of individuals, faculty staff, and/or administrators, during the pre-award submission process.

  • Meeting with PIs and Deans to review initial budgets to meet sponsor guidelines. Reviews and approves research proposals; ensures compliance with LIU research administration policies.

  • Assists with preparing internal Pre-award reports as needed, reviews and ensures timely processing and submission of information relating to sponsored activity.

  • Advise and assist staff in all compliance and matters pertaining to allowable efforts on the initial budget creation (e.g., from the proposal stage and to the project being JIT awarded).

  • Maintains funding opportunity databases and tracks pending awards; tracks deadlines to ensure proposals are submitted on time; tracks when subawardees/subcontractors or grantees ("sub-recipient") are required to submit reports, requests, or renewals; prepares reports as needed.

  • Responsible for initiating the Chartfield Maintenance Form, Award Data Capture Form, and Budget Template.

  • Identifies financial issues and risks and develops strategies to mitigate them. This may include completing templates, reporting checklists, training, communication, etc.

  • Reviews and approves invoice vouchers and personal payments to ensure appropriate supporting documentation is attached.

  • Maintains proper fiscal data entry and administrative controls and ensures all funds are expended in accordance with LIU and sponsor policy and procedures.

  • Monitors Notice of Award budgets related to expenditures and provides accurate projections of awards to ensure compliance.

  • Completes all sub-recipient risk assessment tasks and supports the development of subrecipient agreements.

  • Determines whether amendments to existing sub-agreements are needed (time extensions, budget revisions, etc.); develops the amendment for review by Executive Director and other pertinent staff and facilitates execution by sub-recipient.

  • Stays up to date with laws, regulations, external and internal policies, and procedures governing grants and cooperative agreements administration.

  • Supervises support staff as needed.

  • Assists in administration of individual account roles in sponsor portals.

  • Special projects as assigned.

Additional Responsibilities:

  • Position necessitates self-direction.

  • Supervises a group of related functions with line authority.

  • Maintains university-wide access to data such as employee salaries and benefits; mandatory confidentiality required.

  • Involves frequent contact with faculty, staff, sponsoring agencies, and senior administrators.

Qualifications:

  • Bachelor's degree required; Master's or advanced graduate degree preferred. Preference is given to candidates with a Certified Research Administrator designation, and/or experience working with Sponsored Research administration, and/or clinical trials, and/or experience working with NIH, NSF, DOD, HRSA, FDA and other federal funding agencies.
