Job Description:

The Assistant Director serves as a critical leader in fostering a campus culture in which differences are embraced and works to support the College's mission of promoting strong ethical values with a commitment to social justice and service. The Assistant Director will collaborate with the Assistant Dean to provide leadership for the department's administration of the Community Standards. The Assistant Director is also responsible for the direct administration of a residence hall on campus which houses undergraduate students. This is a twelve-month, full-time, live-in position.

Specific Position Responsibilities

Policy Enforcement/Crisis Management

  • Under the supervision of the Assistant Dean, ensures the effective administration of the Community Standards through the training of staff, annual goal setting and outcomes assessment, maintenance of accurate and complete conduct records in compliance with the records retention policy, and effective communication of policies, procedures, and services through the delivery of print, and online materials.

  • Coordinates the reporting of student conduct complaints by individuals, departments, and organizations. Conducts an annual review of the Community Standards and subsequent processes; recommends appropriate revisions and provides statistical reports and summaries for various departments and college leadership as requested.

  • Serve as a Student Conduct hearing officer.

  • Take part in professional staff duty rotation.

  • Communicate, interpret, and enforce College and residence hall policies and procedures.

  • Effectively manage emergency situations

  • Develop a working relationship with Dean of Students, Security, Counseling, Ministry.

  • Challenge, confront and follow up on negative behavior.

  • Recommend changes in policies and procedures.

Departmental Duties

  • Attend weekly staff meeting.

  • Meet weekly with supervisor.

  • Serve on assigned committees.

  • Participate in scheduled trainings.

  • Attend and participate in Open House Events

  • Present about and represent Residence Life at New Student Orientation

  • Assist in recruitment, selection and training of new professionals.

  • Support and oversee summer conference related tasks

Functional Department Responsibilities

Assistant Directors are each responsible for a selection of functional responsibilities that change every academic year, these can include but not limited to the following:

  • Coordinating all Resident Assistant Training

  • Managing Monthly Town Halls

  • Overseeing Resident Assistant Evaluation Process.

  • Maintaining, updating and producing Resident Assistant staff manual.

  • Coordinating the Resident Assistant Selection process

  • Assisting Director of Operations with Housing Selection and Placement

  • Serves as liaison to Colleges of the Fenway Residence Life group.

  • Plan and direct Resident Assistant End-of-the-Year Function.

  • Plans and implements any Resident Assistant appreciation events.

  • Summer conferencing Management

  • Summer conference staff recruitment, selection, training, supervision

  • Guest Privilege Workshops

  • First Year Initiatives

  • Supervising an Assistant Residence Director

  • Equity, Inclusion and Belonging initiatives.

  • Supervising a Living Learning Community

  • Coordinating Front Desk management

  • Residence Hall Front Desk Operations

  • Mission and Ministry initiatives

Residence Hall Management Responsibilities

Supervision

  • Provide on-going supervision, support and evaluation to the RA staff.

  • Plan and conduct weekly staff meetings.

  • Meet on a bi-weekly basis with RAs.

Community Development

  • Promote and encourage self-government, individual responsibility and respect for others.

  • Communicate the rights and responsibilities of individuals and the community.

  • Develop effective relationships with residents through daily interaction.

  • Facilitate environments and activities that promote sense of belonging

Programming/Leadership

  • Oversee programming efforts of the Resident Assistants in accordance with programming model

  • Manage Programming and building budget and petty cash.

  • Advise other campus-wide clubs or organizations.

Counseling and Advising

  • Be sensitive and responsive to students' emotional, personal and academic needs; advising and making appropriate referrals.

  • Attend to the health and safety of residents in medical, psychological, and other crisis/emergency situations. Be aware of and respond to the effects such crises have on the community.

  • Respond to and document Campus Care Team referrals and related communication.

  • Be knowledgeable of the various campus resources and how to appropriately partner with and refer students to these offices to support their success.

  • Be accessible and approachable to students.

Operations

  • Assist with opening, holiday breaks and closing of the residence halls each semester

  • Oversee room inspections at the beginning and the end of the academic year.

  • Reconcile Fall/Spring room inventory forms to identify items to be billed.

  • Build and maintain a working relationship with the Facilities Staff.

  • Report all maintenance and housekeeping problems to Facilities Staff. Follow up on problems not remedied within a reasonable time.

  • Investigate all damage in the halls and assigning responsibility.

  • Assist in coordinating room changes.

  • Assist Security in the evacuation of residence halls during fire drills.

  • Coordinate Health and Safety Inspections once a semester.

Front Desk/Office Assistant

  • Provide overall supervision for building specific Front desk

  • Supervise the Front Desk Manager and other desk workers.

  • Supervise one student Office Assistant

  • Order and keep supplies stocked for Front Desk.

  • Complete the student payroll.

  • Recommend changes in policies and procedures.

Requirements:

Our ideal candidates will demonstrate an understanding of and commitment to the College's mission and the value of Catholic higher education. Master's degree in Student Personnel or Related Field preferred required. 1-4 years of Professional live-in experience preferred
