Job Summary

The Assistant Director for Operations is a senior member of the team at Krannert Center for the Performing Arts (KCPA). They report to and work directly with the Director of the Center and serve as a collaborative member of the KCPA leadership team. This position works with the College of Fine and Applied Arts' business and administrative staff. Primary responsibilities include oversight of building maintenance, building systems, and facilities; as well as oversight and management of budget in coordination with and supported by the Director of the College of Fine and Applied Arts, Performing Arts Service Center (PASC).

Duties & Responsibilities

Operations and Systems Oversight

  • Supervise and train facilities and operations staff and attendants

  • Maintain KCPA facilities and organization in a safe and healthy manner taking a lead role in the planning and execution of construction and/or renovation project(s); serve as liaison to other campus units regarding such initiatives

  • Manage third party contracts and related budgets for building maintenance

  • Oversee IT systems, vendors, and office equipment

  • Manage and administer communication and software/hardware systems ensuring effective work practices are in place within departments and across KCPA

  • Oversee hiring plan for the Center in coordination with Director.

  • Ensure accessibility for patrons, students and staff along with a welcoming environment by embracing diversity, equity and inclusion principles when supervising and interacting with staff members and the community

  • Work closely with KCPA staff to ensure safety and emergency preparedness plans are up-to-date and in place meeting all local, state and federal laws and fire regulations. Coordinate with community service officers and campus police as needed.

Fiscal Management and Planning

  • Work with Director of Center to implement annual budget for KCPA, overseeing and tracking budget in collaboration with the Director of PASC; develop funding strategies, analyze sources of funding and assist Director to allocate resources, and create and review financial reports as needed

  • Oversee financial planning with staff to identify and articulate short-term and long-term financial needs as well as unexpected finance-related challenges; providing current financial data, reports, and systems for use by area managers in their budget development, account management, income and expenditure monitoring, and reporting.

  • Manage compliance with campus financial systems and procedures and assist in organizing staff training

  • Create and execute annual planning for facilities budget, capital improvements project budgets, and life cycle cost analysis of venues and their components in coordination with Director and staff

  • Develop and implement financial strategy as it relates to capital budget planning

  • Work with Director and leadership team to develop and execute a strategic plan; ensure DEIA principles are integrated into planning

  • Work with marketing and box office to develop ticket pricing strategies aligned with Center's engagement and revenue goals; assist in implementing customer service practices that foster a culture of welcome and belonging

  • Ensure that all external contract terms are reflected in budgets and marketing materials

  • May perform other duties as assigned.

Minimum Qualifications

  • Bachelor's degree in business administration, management, finance, arts management, performing arts, or related field.

  • Two (2) years of professional business, financial, and/or managerial work experience.

  • Demonstrated supervisory experience.

  • Demonstrated experience with finance processes in a performing arts, university, private or public setting.

  • NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.

Preferred Qualifications

  • Experience in arts management, venue management, the performing arts, or business / finance management at a performing arts venue, college, university, or similar institution.

  • Experience working in not-for-profit, mission-driven organizations.

Knowledge, Skills and Abilities

  • Knowledge of information technology, budgeting practices, and financial literacy.

  • Excellent interpersonal and organizational skills.

  • Able to work with a wide variety of people and managing staff.

  • Some knowledge of the performing arts and performance facilities.

  • Strong management, problem-solving skills, discretion, and attention to detail.

Appointment Information

This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of this search. Salary is commensurate with experience. Competitive salary for this position beginning at $70,000. WE strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Work authorization sponsorship is not available for this position.
