Position Title: Assistant Director of Enrollment Operations

Department: Office of Admissions

Reports to: Director of Enrollment Operations

Classification: Exempt

FTE: 1.0

Salary: $50,000 - $56,000

Essential Job Duties:

1.Student Employee Program

  • Supervision and Training Responsibilities
  • Recruit, select, train, and directly supervise student tour guides and 75+ Admissions Fellows. Supervision includes expectation setting, leadership development, performance evaluation, improvement plans, performance documentation, and discipline.

  • Recruit, select, train, and directly supervise Senior Admissions Fellows, this includes Saturday campus visit office management and the Senior Fellow interview program.

  • Develop, plan, and lead annual, summer, and fall training for student employees.

  • Develop, plan, and lead monthly training in-service sessions for student employees through the development of partnerships with faculty and staff.

  • Regularly update training materials and tour guide manual.

  • Be an expert on information session content and updates on campus community developments.

  • Assess the student staffing model and make adjustments as needed to meet enrollment goals.

  • Utilize the St. Olaf GROW program to further the development of St. Olaf student employees.

  • Manage budgets for the student employment programs.
    2.Campus Tour Program

  • Envision, implement, and execute on a best-in-class campus tour experience for prospective students and families.

  • Regularly review campus tour protocols to ensure prospective students and families are seeing key parts of campus and the St. Olaf experience in action.

  • Develop campus tour guide storytelling skills through professional development, mentorship, and regular feedback.

  • Collaborate with Marketing/Communications and campus partners to enhance the campus visit experience via signage and consistent and compelling branding.

  • Stay abreast of campus events, changes, and improvements that are relevant to student tour guides and the campus visit experience.

  • Conduct qualitative and quantitative data analysis regarding the impact of campus visit on enrollment results. Aggregate feedback from students and families to improve the campus tour and visit experience.

  • Partner with the Director of Enrollment Operations and the College Events team for on-campus recruitment events, including Minnesota Private College Week, Fall Visit Days, Spring Break Series, Admitted Students Days, high school counselor tour programs, and special events.
    3.Admissions & Enrollment Operations Team Member

  • Be front-facing in the admissions office and at campus events.

  • Provides strategic vision on how to make the St. Olaf visit experience unique, authentic, and of superior quality.

  • Assist with other areas of the visit program and operations when needed.

  • Serve as a backup for the Director of Enrollment Operations.

  • Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community.

  • Complete and meet deadlines for required training and performance management cycle.

  • Perform other duties as assigned

Work Schedule: Year-round

Term: 12 months

Shift: The standard 40-hour work schedule is Monday

  • Friday, 8:00 am

  • 5:00 pm (some evening and weekend hours required for special events).

Required Qualifications:

Education: Associate's degree or equivalent work experience

Experience: 1-2 years of office and customer service environment experience where contact with the public is valued and imperative; similar type work in a higher education setting. maintain a valid driver's license and meet St. Olaf College driver authorization criteria with a satisfactory driving record. Ability to lift, carry and move light-weight boxes, supplies, and signs for campus events both on and off campus.

Preferred Qualifications:

Education: Bachelor's degree

Experience: 2-3 years of experience in a private residential liberal arts college setting; supervisory experience of professional and support staff; experience with campus events and activities, hospitality events-related activities, or a related field.

Employment in this position is conditioned upon successful completion of a background check which may include: criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical.
