Job Description:

GENERAL STATEMENT OF DUTIES: The Assistant Director of Enrollment Management for the School of Graduate, Online and Continuing Education (SGOCE) serves as a program liaison to assigned programs by collaborating with academic departments, Admissions, Marketing and the SGOCE team to lead the development and facilitation of outreach and recruitment initiatives for each assigned program. This position will also serve as the lead for SGOCE student persistence initiatives and manage the academic standing process for the schools. The Assistant Director will also provide general student service support for the school and perform other related duties as assigned by the Assistant Dean of Enrollment Management for SGOCE. (Assigned programs include M.S. in Criminal Justice, M.A. in History, M.A. in English, M.S. in Applied Communication Studies, Social Media, M.A. Counseling, Mental Health and School Counseling, Forensic Nursing and LPN to RN in Nursing.)

SUPERVISION EXERCISED: Leads work study in specific projects when necessary

DUTIES & RESPONSIBILITIES:

Recruitment and Outreach

  • Assists with determining annual program enrollment goals in collaboration with assigned academic departments and the SGOCE team.

  • Responsible for leading the development and facilitation on the annual outreach and recruitment plan for each assigned program based on enrollment goals. This includes coordinating outreach events, email campaigns, information sessions or other activities as needed and assessing the outcomes of these activities on an annual basis prior to the goal setting process for the upcoming year.

  • Responsible for monitoring the progress of the enrollment plan in relation to the established enrollment goals and recommend additional recruitment and outreach activities as needed.

  • Provide monthly reports to SGOCE program chairs regarding the enrollment status of their programs and seek input and assistance as needed with planning events and activities.

  • Develop, implement and assess communication to assigned prospective student audiences.

  • Responsible for maintaining the communication plan for assigned admitted and current students who are not registered each semester.

  • Leads the planning and implementation of the SGOCE campus-based Information Sessions (3x/year) and program specific online information sessions as needed.

  • Leads the development and implementation of program-specific and service webinars for prospective students in collaboration with staff and faculty.

  • Maintains current knowledge of recruitment, outreach and advising practices for SGOCE students.

  • Assists with attending general SGOCE recruitment events as needed such as graduate fairs, transfer fairs and community events.

  • Assists in facilitating such events as webinar week to increase enrollments and exposure to our webinar library.

  • Responsible for managing the promotional materials for assigned programs, and checking the catalog and program websites on an annual basis to make necessary updates and communication with related departments as needed to gather feedback and share updated materials.

Student Services:

  • Responsible for conducting pre-advising for prospective students from assigned programs by appointment or on an ad-hoc daily basis via walk-in, phone or online chat.

  • Assists with the development and maintenance of the online SGOCE Student Resource website to help orient new students to their programs and assist current students with their service needs throughout their program.

  • Assists in the daily operation of the office as necessary including customer service, phone coverage, special events, and other duties as assigned.

Retention:

  • Responsible for leading strategic retention initiatives in collaboration with the SGOCE team and program Chairs. This includes developing an annual retention initiative plan, assigning tasks to related staff and ensuring that the tasks are completed and outcomes are measured.

  • Manage and maintain communication process for academic standing and academic probation each 7-week term and 15-week semester (6 times per year) as well as assess the processes annually

  • Responsible for analyzing academic standing and probation data, reporting the information gathered with key stakeholders and bringing together appropriate staff and department chairs to discuss and address identified issues

  • Revise and maintain the coordination of communication with all SGOCE faculty outlining a protocol for how to report inactive students in their SGOCE courses.

  • Managing the communication process with students who have been reported as inactive in their courses.

  • Leads the coordination of welcome communication to students for the first week of class each semester.

  • Responsible for coordinating ongoing retention efforts for matriculated GCE students through a variety of means, including letters, emails, phone outreach, and meeting with students to facilitate their steady progress through graduate and undergraduate degree and certificate programs.

  • Develops and implements a specific outreach program to facilitate degree completion by targeting Fitchburg State students who left the university without finishing their degree.

  • Develops and implements a Non-Degree student outreach campaign to encourage students with earned credits and sufficient GPA to apply for admission to a program.

  • Responsible for creating and maintaining calendar for all retention related communication.

  • Serve as the SGOCE team expert on the retention tool Navigate and utilize this tool to assist with student communication, tracking and reporting. Create and conduct tutorials for faculty and staff on best practices for Navigate.

  • Leads the process for reporting retention numbers by program on a bi-annual basis in collaboration with the Director of Operations.

  • Maintain current knowledge of retention trends and student ready work for SGOCE populations and brings this knowledge and updates about trends to the SGOCE team.

Other:

Performs other duties as assigned by supervisor.

Requirements:

  • Master's Degree preferred, Bachelor's degree required in related field with experience in an office environment or business environment, preferably higher education experience with a working knowledge of office practices, procedures and equipment, and strong technology experience. Candidate must possess five years of full time or equivalent part time experience.

  • Excellent computer skills; working knowledge of Microsoft Office applications.

  • Strong written and verbal communication and presentation skills.

  • Excellent interpersonal skills including ability to interact with students, faculty, staff, and the public.

  • Familiarity with student records systems, with knowledge of Banner, Crystal, Degree Works, and Web4 preferred.

  • Ability to maintain and use discretion in handling confidential information.

  • Experience working collaboratively with diverse populations.

  • Ability to work efficiently on a variety of tasks with minimal supervision.

  • Organizational skills for accurate record keeping and data collection.

  • Ability to establish and maintain harmonious and collaborative working relationships within the department and with the university community and the general public.

  • Ability to perform above duties with or without reasonable accommodation.

  • Must be able to satisfactorily pass a check conducted by the Criminal History Systems Board (CORI), a SORI as well as a background check satisfactory to the university.

Additional Information:

This is a full-time, benefited, exempt, professional APA position. The annual salary range for this position is $63K - $70K Annually. The deadline to apply is June 30, 2024.
