Job Summary

The Assistant Director of Education Abroad, under the direct-report supervision of the AVP-International, oversees & manages GCSU's Study Abroad (SA) program, including faculty-led, exchange, third-party & other offerings. In consultation with the AVP, the AD develops & manages procedures related to SA & SA program development & administers the Terra Dotta enrollment system. Works closely with GCSU students, faculty, departments, colleges & external entities.

Responsibilities

Management

  • 1 - 30%

Supports the AVP-International in providing leadership developing and managing Study Abroad programs and procedures, plus program development. Specific tasks:

Works with faculty in developing and maintaining GCSU and collaborative study abroad programs that meet academic, financial, and safety standards; ensures approval processes are followed; counsels and advises faculty on Study Abroad best practices. Helps develop policies and procedures for managing Study Abroad, while protecting University liability. Primary administrator of Terra Dotta software.

With SA Advisor creates weekly reports for AVP-Int'l. Assists the AVP-Int'l in preparing and reviewing contracts/agreements. Works with AVP-Int'l, and other units in awarding GCSU Study Abroad scholarships.

Works with AVP-Int'l to coordinate and enhance relationships with/among Study Abroad students, programs, advisors, and units. Advises GCSU faculty on program development/administration. With AVP, negotiates Study Abroad contracts and services.

Maintains, updates, and distributes training materials and coordinates training programs. Assists with Study Abroad logistics. Works with Academic Advisors and department heads to articulate course equivalencies for students.

Manages the advising of Georgia College & State University students regarding Study Abroad programs/opportunities, policies and procedures, adjustment issues, and other issues relating to Study Abroad (SA). Specific Tasks: Address student/family international travel concerns, resolve academic anxieties, assist students in choosing international career fields, and problem solve other international matters. Provides individual counsel for students seeking to study abroad; organizes regular group introductions and orientations; creates, revises and distributes appropriate Study Abroad materials; offers other direct assistance or referrals.

Record-Keeping/Budgets

Coordinates Study Abroad transactions and the balancing of SA budgets. Specific Tasks:

Prepares internal student accounts/ billing, plus partner/vendor and related accounts and expenses, and transmits and coordinates all Study Abroad related accounts to/with the Office Coordinator. Ensures accounts are reconciled monthly and that expenditures meet all University and USG and other requirements and regulations. With AVP, negotiates mandatory health insurance premium annually for GCSU Study Abroad programs. Reviews Study Abroad related faculty Travel Authorizations and Expense Reports for correctness and validity before forwarding for AVP approval.

Coordinates the SA recruitment schedule and marketing materials, including brochures and Study Abroad website. Specific Tasks: Oversees recruitment of Study Abroad students; monitors applications; maintains database; receives and processes waivers according to policies; facilitates class/course registrations for classes, plus the submission of grades.

Serves as primary Study Abroad point of contact for GCSU students, families, and faculty, plus each/all of the colleges and the various departments/offices of GCSU associated with Study Abroad activities. Works with AVP-Int'l to counsel/advise colleges and departments on GCSU, USG and other requirements, policies and procedures, and coordinates their services in support of Study Abroad students, families, and programs.

Specific Tasks: Supervises Study Abroad Advisor, interns and volunteers, coordinates efforts to recruit, screen, hire, and train Study Abroad interns and other volunteers.

Provides projects, instruction, and supervision to ensure their work is completed in conformity with GCSU and other related policies and to International Education Center standards. Assumes additional responsibilities and duties assigned by the Assistant Vice President for International Education.

Required Qualifications

Educational Requirements

Master's degree in a related field.

Other Required Qualifications

Experience with MS Office applications.

Required Experience

At least three (3) years of related professional work experience, or an equivalent combination of education and experience. Must have studied abroad.

Preferred Qualifications

Additional Preferred Qualifications

Experience living and working in an academic environment abroad.

Preferred Educational Qualifications

Knowledge of a foreign language.

Preferred Experience

At least five (5) years of related professional work experience. Experience using Terra Dotta online application and Enrollment Management System. Semester or academic year abroad experience.

ABILITIES

Administrative, communicative and organizational abilities for planning, promoting, executing, and coordinating programs, plus problem-solving. Work independently with minimal supervision to meet deadlines, multi-task, and produce high-quality results within a fast-paced, public-facing, customer service-oriented office serving many constituencies.

KNOWLEDGE

Knowledge of academic and Study Abroad environments, policies, structures and processes, plus basic bookkeeping. Functional knowledge of budget and expenditure policies.

SKILLS

Excellent interpersonal, planning, public relations, and communication skills, plus demonstrated supervisory and leadership skills. Advanced computer skills, plus experience with spreadsheets and simple databases.
