As part of the Business Services leadership team, assists Director to provide overall leadership and administration for the department including strategic planning, policies and procedures, staff supervision, budget management, and the development and assessment of services.

Under general direction, plans, implements, directs, and evaluates Special Events Office, Campus Information Desk, Campus Facilities Reservations, and Space Planning/Utilization programs, services, and operations.

Immediate supervisory responsibilities for professional and student staff in Special Events Office, Campus Information Desk, and Space Planning.

Typical Duties/Job Duties

1.Management and administrative oversight of Special Events Office and Space Planning Office staff and operations, including but not limited to facility reservations, contracting, billing, event coordination, coordination and contracting of summer camps and conferences, space planning/utilization, academic scheduling, and campus space utilization analysis. Monitors and assesses key performance indicators to inform continuous improvement strategies.

2.Oversees maintenance of campus facilities inventory; including preparation and submission of annual facilities inventory reports to THECB; coordinates multi-departmental space planning and space utilization processes and initiatives. Coordinates with Special Events customers to develop facilities reservation and room setup details; develops rental event pricing, contracts, and invoice requests.

3.Assists Director in general oversight of departmental services and facilities, including the Junell Center/Stephens Arena, the Houston Harte University Center, and the ASU Lake Facilities; assists with planning and implementation of University Center and Junell Center/Stephens Arena programs, services, events, and activities. Assists with the development of the Special Events professional management team, systems, and morale necessary to provide quality auxiliary services for students, faculty, staff, alumni, and various individuals or groups of the general public.

4.Assists Director with the development and year-round management of assigned budget areas, to include financial reporting and analysis, overseeing financial transactions, and monitoring income and expenditures. Assists with the development, implementation, and assessment of strategic planning in support of university strategic goals. Coordinates preparation of bid specifications and purchase requests; assists in the preparation and negotiation of service contracts.

5.Develops and prepares various drafts, memos, reports, analyses, and proposals in support of area and university initiatives and departmental services. Participates in campus community relations by representing Business Services in meetings, receptions, and other programs, and serving on committees, councils, and advisory groups as directed; attends training, seminars, and other meetings as needed. Communicates in a professional, service-oriented manner with faculty, staff, students, visitors and others in the course of performing work or managing functions. Develops and implements departmental policies and procedures. Serves on committees and lead work groups as assigned by the Director; perform other job-related duties as assigned.

  • Skilled in conflict management, problem solving techniques, customer service resolution, and developing resources.

  • Skilled in oral and written communication and interpersonal relations; ability to interact effectively with student leaders and other members of the University community.

  • Knowledge of marketing and customer service principles and practices; knowledge of student and community interests.

  • Knowledge of business writing; knowledge of spelling, grammar, and punctuation.

  • Knowledge of budget development and financial management; knowledge of basic purchasing procedures and regulations.

  • Knowledge and successful application of the principles and practices of effective employee training and supervision; ability to train, supervise, and evaluate the work of professional staff and student assistants; experience in developing and delivering training.

  • Ability to analyze data and apply critical thinking to solve problems.

  • Ability to perform mathematical calculations and data analysis of moderate difficulty; ability to organize and effectively present results and recommendations.

  • Ability to plan, organize, implement, manage, and evaluate programs and operations; ability to organize and complete multiple tasks in an accurate and timely manner.

  • Ability to multi-task with demanding time frames. Strong organizational and planning skills, including the ability to work independently to manage and prioritize multiple projects.

  • Ability to work with teams.

  • Ability to manage area budgets in an efficient manner.

  • Ability to work a flexible schedule including periodic nights and weekends and occasional holidays.

Minimum Qualifications

Bachelor's degree in Higher Education or Public Administration, Business,

Communication, Technology, or other directly related field required.

Minimum of three years of full-time direct professional level experience in

supervision, training and development, customer service, and general

business affairs is required.

Preferred Qualifications

Master's degree preferred.

Three to five years of professional experience in customer service

management, budgeting, data analysis, marketing, public relations, higher

education administration, or other comparable experience is strongly

preferred.

Physical Requirements

Requires prolonged periods of sitting and standing, and intermittent

bending, reaching, and carrying; lifting objects up to 35 lbs. is also

required; medium level manual dexterity is necessary.

Works in a pleasant, well-lighted, temperature-controlled environment;

occasional periods of heavy workload; work assignments at various

campus locations are common.
