Position Summary:

The Assistant Director for the Brower Student Center resides in the Office of Student Life. This includes Student Involvement (Student Activities, College Union Board, Student Government), Fraternity & Sorority Life, Mascot Program & Commuter Students, Brower Student Center, & Recreation (Student Recreation, Club Sports, Intramurals, Fitness Center, RECreate Your Night). The Assistant Director reports to the Associate Director of Student Life.

Promoting an inclusive campus environment where all students have a personal sense of belonging and are active, engaged members who contribute to the TCNJ and greater community. Student Life serves as a center for experiential student learning and development outside of the classroom; builds and supports effective student organizations and student events; develops emerging student leaders and guides mature student leaders; and implements large-scale student entertainment programs.

As a member of the Student Life team, the Assistant Director is instrumental in the management of the Brower Student Center. They support the daily operations and services by monitoring building appearance and function and responding and planning appropriately. They support all events held in the Brower Student Center including student organizations, department, and external clients. The Assistant Director supervises the Student Event Coordinator position, which is the primary point of contact for student organizations to schedule space and services for events on campus. This position requires creativity, initiative, and follow through while working collaboratively with others in the department, division, and college.

Main Responsibilities:

Event Operations:

  • Support event reservations held in the Brower Student Center through Conferences and Event Services (CES) and BSC Student Events Coordinator.

  • Ensure accurate and complete scheduling reservations are made with adequate details related to event descriptions, layouts and diagrams, equipment, technical needs, and audio visual requirements.

  • Coordinate with CES to track planning progress and review departmental and external reservation approvals.

  • Identify and communicate any necessary changes required to successfully host events coordinated by CES

  • Support BSC operations by monitoring daily events and identifying immediate facility concerns

  • Work collaboratively to troubleshoot appropriately with areas such as the Office of Student Life, Conference and Event Services, Facilities, Building Services, Catering, and IT to ensure clients' needs are met

  • Develop and maintain knowledge of best practices in event reservation and planning practices

  • Consult with the Associate Director of Student Life to consider requests from Conference and Event Services for discounted events/equipment

Facility Support:

  • Support the daily functions of the Brower Student Center by monitoring building appearance and functionality

  • Mitigate and reduce risk and safety concerns for users

  • Respond to identified issues and concerns and monitor the progress of requested work to Facilities and other departments

  • In collaboration with the Associate Director, develop and enact a planned and preventive maintenance program with appropriate budgetary needs.

  • Identify data driven opportunities to advance an enriching and vibrant student center experience

  • Recommend policies and procedures and space needs to ensure successful building and program operation

Supervision:

  • Supervise and develop the Student Events Coordinator

  • Provide supplemental supervision as needed to the Student Events Team

  • In the absence of the Student Events Coordinator, the Assistant Director receives, inputs, and updates all event information, communicates all relevant policies and procedures to clients, processes all billing, and advises student organizations on setup and resource options to ensure the success of their events.

Staff Supervision:

  • Develop the Daily Report for building operations to inform staff scheduling for set-ups and break-downs of furniture, audiovisual, and other event equipment. Communicate additional staffing needs for event production to Operations Manager. Supplement supervision and support of student staff with the BSC Operations manager, who serves as primary supervisor.

RSO Storage:

  • Administer the RSO Storage opportunities for the BSC through lockers, cages, and offices.

  • Implement a storage assignment process, assess effective use, and utilize an accountability processes, including appropriate referrals to student conduct.

  • Inspect spaces at the end of Fall and Spring term and intermittently throughout the semester Troubleshoot and respond to storage challenges experienced by RSOs

Marketing:

  • In collaboration with the Associate Director, develop marketing materials for the building and services.

  • Manage social media and website for the Brower Student Center.

  • Administer and maintain indoor and outdoor digital signage including all back end software, scheduling, and billing for postings

Student Staff:

  • Provide collaborative support to the BSC Operations Manager as needed for student employment hiring and training processes.

Other Duties:

  • Campus Volunteer Roles and Other Duties as Assigned

Required Qualifications:

  • Bachelor's degree

  • 4 years experience related to event planning, programming, and/or College Union/Student Center Management.

  • A master's degree may be substituted for two years of the required experience.

  • Supervision of undergraduate and/or graduate staff

  • Excellent oral and written communication skills. Ability to modify communication based on the intended audience. Highly developed organization and time management skills, as evidenced by successful management of multiple simultaneous projects.

  • Demonstrated success planning events in a collegiate or conference environment. Working knowledge of risk management in event planning.

  • Technical proficiency with MS Excel, Word, and ability to quickly learn and adapt to new software. Proficiency with EMS event management system or other equivalent software (25Live, Astra Schedule, etc.) preferred.

  • Knowledge of the developmental needs of college students. The ability to apply this knowledge to both the supervision of student workers with an emphasis on personal/professional development and advising student clients to ensure successful planning and execution of their events.

  • Knowledge of customer service philosophies and ability to assist clients to ensure a positive experience with the Brower Student Center. Ability to check-in with clients at events within Brower Student Center.

  • Ability to work evenings and weekends when necessary.

Preferred Qualifications:

  • Master's degree in Higher Education or related field

  • Supervision of professional staff

Physical Demands:

  • On an occasional basis, the ability to safely lift and control up to 50 lbs in order to move equipment (tables, chairs, staging, etc.) to meet the physical setup needs of an event. This position may require extended periods of time on your feet while setting up events or monitoring the building.

  • Ability to work in an office environment including sitting continuously and working in front of a computer for an extended period of time.

  • Work will be completed in an office environment at a desk and by physically monitoring a facility.

  • Fast-paced, event-driven atmosphere that is constantly changing to meet the daily needs of our clients

  • Office is co-located with student staff, the ability to complete individual tasks while among a constantly changing environment is necessary.

Employer Qualifications:

  • Final offer of employment is contingent upon the successful completion of a background check and reference checks.

  • Residency Requirement: In accordance with the New Jersey First Act P.L. 2011 c.70, effective September 1, 2011, new public employees in certain positions (faculty exempt) are required to obtain New Jersey residency within one (1) year of employment.
