Summary

The Assistant Dean of Administration & Faculty Development is a key strategic position within the Dean's Office, reporting directly to the Dean. Working collaboratively with senior management and faculty, the Assistant Dean of Administration & Faculty Development supports the Dean in carrying out Law School projects and initiatives, managing the Dean's office, and taking on special projects for the Dean.

As a member of Senior Leadership Team, this position serves as a trusted advisor to the Dean, providing proactive, comprehensive support and forecasting for the Law School's strategic administrative and operational priorities, including partnering closely with administrative partners and leaders of the Law School.

This is an in-person position.

Essential Functions

1.Provide oversight of all administrative activities including IT, maintenance, human resources, recruiting, internal communications, and staff management, including the facilitation of effective project management across teams by:

  • Directing Dean's Office staff to ensure smooth functioning of the office, including helping to determine and prioritize matters needing the Dean's attention;

  • Identifying and helping to resolve team issues or concerns;

  • Planning meetings and retreats that drive the effectiveness of the team in partnership with the Dean;

  • Overseeing faculty and staff affairs/activities; and

  • Working with the Dean to resolve complex issues in this area.

2.Serve as an advisor to the Dean on a variety of organizational and operational issues and support the strategic initiatives of the Dean by:

  • Collaborating with administrative and faculty leaders to help identify and resolve issues of substantial significance that affect the overall functioning of the school and help advance institutional priorities;

  • Assisting faculty members with scholarly development, publication needs, and presentations;

  • Overseeing research grants for faculty scholarship, maintaining records, and ensuring compliance with requirements;

  • Reviewing research grant publications and actively assisting with all faculty growth, development and scholarship needs;

  • Supporting the Dean's initiatives in the community including, without limitation, initiatives with respect to the American Bar Association, Chambers of Commerce, Florida Bar, and other legal and non-legal community organizations;

  • Supporting the Dean's initiatives with respect to alumni, development and administration of the Law School;

  • Developing and following through with the Law School's strategic plan and ensuring its alignment with the strategic plan and initiatives of the University;

  • Serving as a thought partner and strategic advisor to the Dean and developing and implementing the organizational systems that support the goals necessary to enable the Dean to lead comprehensive strategy and work of all constituents (faculty, staff, students, researchers, etc.);

  • Developing and implementing a sustainable assessment program;

  • Assisting the Dean with other strategic initiatives, including research of best practices and contract negotiation.

3.Handle all reporting requirements including, but not limited to, the annual ABA Questionnaire, the annual ABA Employment Questionnaire, AALS reports, Board of Trustees Reports, Florida Bar reports, and SACS reporting requirements by:

  • Collecting data from all law school departments related to graduates, employment, curricular changes, programmatic changes, alumni, etc.;

  • Assisting with the preparation of ABA/AALS self-studies, as well as other reports and responses, and maintaining current documentation to support each report;

  • Analyzing the reportings and reviewing the ABA Standards to ensure all is in compliance;

  • Maintaining and updating files demonstrating compliance with ABA Standards; and

  • Assisting the Dean with ABA, SACS and other site visits.

4.Assist Dean and collaborate, as assigned by Dean, with the Associate Dean for Academic Affairs and Associate Dean for Student Affairs by:

  • Assisting with updating existing Faculty & Student Handbooks and Law School forms;

  • Assisting in the recruiting process of faculty members;

  • Assisting with the planning and execution of all aspects of law school graduation and commencement festivities, including graduate reception; and

  • Assisting bar preparation with all agreements regarding tutoring and bar preparation organization.

5.Assist the Dean in writing, including speeches, correspondence, presentations, nominations for awards, and reports. Manage agendas and action items; ensure effective communication across the team; identify and help resolve team issues or concerns; plan meetings and retreat that drive the effectiveness of the team in partnership with the Dean.

6.Work closely with the Dean and Human Resources in recruiting faculty and senior administrators.

7.Conducts research on legal education, legal practice, and related issues at the direction of the Dean. Serve as an expert resource on current legal education and legal practice issues and trends.

8.Perform other related duties as assigned or required to include but not limited to providing planning and logistical support for various campus-related events such as graduation.

Qualifications/Requirements

  • JD degree required

  • One to three (1-3) years of relevant work experience required.

  • Prior staff supervisory experience is required.

  • Exceptional analytical capacity, and written and verbal communication skills.

  • Proven ability to work with all members of the Law School community including faculty, staff, students, university colleagues, and alumni.

  • Demonstrated ability to initiate, design, plan, and execute multiple complex projects simultaneously with attention to detail and high level of excellence.

  • Tact, discretion, and experience handling highly confidential information.

  • Ability to work effectively and efficiently under pressure while maintaining a high level of professionalism.

  • Strong technical skills, including full proficiency with standard business software and computer systems (e.g., Word, Excel, PowerPoint) and the Internet. Statistical skills a plus.

  • Experience strategically assessing priorities, managing change, and effectively juggling multiple complex activities in a time-sensitive environment.

  • Proven track record of managing institutional change, leading staff, and developing partnerships with key stakeholders within and outside the organization.

  • Experience developing and executing strategies to achieve short and long-term goals.

  • Proven experience in general management, strategic planning, administration, and organizational development.

  • Experience developing trusting long-term relationships with constituents and creating and maintaining a team culture.

  • Exceptional written, organizational, and communication skills, and the ability to adapt to a dynamic and fast-paced environment.
