The Assistant is responsible for assisting and supporting the Counseling Center by serving as the first point of contact for the department. The Assistant performs a range of office-support activities such as answering inquiries, greeting and directing visitors, performing routine data entry, and coordinating schedules.

  • Testify to personal experience of salvation in Jesus Christ, affirm belief in the University's Statement of Faith, abide by and practice our Life Together Covenant, and both personally agree with and support the Foundational Documents of Taylor University.

  • Provide administrative support to the Counseling Center Director.

  • Serve as receptionist for Counseling Center, coordinating smooth flow of clients and visitors.

  • Assess visitor and caller needs and refer appropriately while maintaining confidentiality.

  • Prepare client files, paperwork, and documentation.

  • Schedule appointments for counselors and counselor interns in Therapy Notes.

  • Monitor and maintain counseling center email account to ensure timely correspondence.

  • Reserve spaces for events and request media support/facilities requests as needed in 25Live.

  • Record statistical information and prepare statistical reports.

  • Communicate daily with the director regarding student or counselor needs that have arisen.

  • Coordinate distribution and results of annual survey.

  • Coordinate disbursements of accounts payable for Counseling Center as requested.

  • Order and maintain office supplies and gifts as needed.

  • Prepare materials for seminars and classes including handouts, brochures, and packets.

  • Create promotional materials such as posters, flyers, announcements, TV announcements, Event Brite, and Instagram posts for events.

  • Assist with the development of campus mental health information and resources including coordination with PAX, and other student organizations.

  • Monitor internal and external Counseling Center websites and communicate updates to the marketing department.

  • Maintain Counseling Center Instagram account.

  • Reconcile TU credit cards and request reimbursements for counseling center expenses.

  • Distribute mail and maintain files.

  • Assist with project-orientated tasks from the Director.

  • Other duties as assigned.

Education and Experience

  • Two years of experience in office management within higher education and/or professional settings required.

  • Comprehensive technological knowledge and skills that include Microsoft Office.

  • Strong administrative, organizational, interpersonal, and communication skills.

  • Must be service oriented and able to handle multiple tasks within a team-based environment.

  • Expressing compassion while maintaining confidentiality at all times.

  • Ability to develop knowledge of, respect for, and skills to engage with others from varying cultures and backgrounds.

  • Understanding of a variety of work environments gained through professional experience or education, and ability to articulate differences in professional work contexts.

  • Ability to represent Taylor University well to internal and external stakeholders and guests.

  • Excellent management skills with the ability to mentor students in their professional development.

  • Competent in using various computer software, including Microsoft Office suite.

  • Collaborative team player who can also work independently.

  • Outstanding organizational, planning, human relations, verbal and written communications skills.

  • Work is normally performed in a typical interior / office work environment.
