Assistant Property Manager/Administrative Assistant needed for a fast-paced on-site community office. This position will work closely with the Community/Property Managers to assist with the day to day duties, including but not limited to, the following:
Assist walk-in owners/residents on a daily basis
Monitor and answer emails that are in the general email ques of each association
Answer phones and log calls into a Connect program
Generate letters, notices and supporting documents, email and mail to owners
Create and send mass email notices to all owners
Log, track and send approval/disapprovals for Architectural Modification Request
Create, assign and track workorders
Create violation notices
Track move-ins and move-outs
Clubhouse Reservations including scheduling clubhouse attendants for the events
Friday clubhouse preparation for weekend events
Issue access passes
Order Office/Janitorial Supplies
Maintain electronic and manual files
Track and update vendors certificate of insurance
Social Committee Contact
Maintain and update Association web page
Book meeting rooms for board/annual meetings
Attend board meetings, when necessary
We are seeking an energetic, positive, multi-tasking individual that possess excellent time management knows how to prioritize work with high social and organization skills.
Excellent writing and phone skills, along with proficiency in MS Office -- Word, Excel & Outlook and the ability to learn a Connect Program is a must. Prior Residential Property Management Experience is a plus.
This is a full-time position with hours of 8:30 A.M. -- 5:00 P.M. (includes a set one-hour lunch)
