FirstService Residential is currently seeking an Assistant Community Manager for a community in the West New York, NY area.

Primary Responsibilities:
Manage and administer the day to day operations of the Community Association business. Maintain communication with Board of Trustees/Directors and homeowners. Work closely with the community manager on all manners of community financials and project management.

Additional Responsibilities:

  • Assure that the policies, resolutions and other acts of the Board are carried out

  • Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association

  • Assist with the daily implementation of the annual budget, perform general financial management and recordkeeping

  • Assist Association and In-House counsel on collection matters and monitor maintenance fee accounts

  • Assist with preparation of specifications needed for all services received by the Association (e.g., landscaping, snow, trash, insurance, pool, etc.)

  • Assist with bid process, review bid spec proposals and comparison spreadsheets and make board recommendations as appropriate.

  • Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices

  • Attend all Board meetings, where necessary

  • Assist with preparation of Board meeting agenda, monthly management report and all other reports and material needed for Board Packet

  • Assist with establishing an annual calendar indicating all association activity, deadlines, election, meetings, projects, etc.

  • Assist all walk-in homeowners and refer to Community Manager, when necessary.

  • Maintain Association filing -- homeowner filing, correspondence, work orders, accounting documentation etc.

  • Mailings, as needed and required.

  • Recordkeeping -- binders to be kept with the following: Monthly Agendas, Modification Requests, Work Orders, Financials (including Social/Trip accounting).

Skill Requirements:

  • Bachelors Degree of Higher strongly preferred

  • Strong organizational and administrative skills

  • Strong written and verbal communication skills

  • Excellent word processing, mathematic and computer skills required

  • 2+ Years of customer service experience in high traffic environment.

VIEW JOBS 3/19/2019 12:00:00 AM 2019-06-17T00:00 <p>Acts as the on-site Managing Agent for the administration, management, and operation of the Condominium according to established and approved Association and Taylor Management policies, procedures, and rules and regulations; and in so doing integrates and coordinates activities of all Association and Taylor Management personnel, vendors, and contractors while responding to the needs of the community, all through the direction of the Board.</p><p><br></p><p><strong>Requirements</strong></p><p> Strong sense of customer service</p><ul> <li>Good organizational skills, attention to detail</li> <li>High School Diploma (or equivalent)</li> <li>Must be able to read, write and communicate English fluently</li> <li>Proficient with Microsoft Office</li> <li>Experience managing 25 to 30 employees</li> <li>Professional knowledge of Construction projects and mechanicals</li> <li>Minimum of 8 years of experience managing a luxury high rise condominium building</li> </ul><p><strong>Essential Job Functions:</strong> include, but are not limited to the following, at the direction of Taylor Management Company and the Board:</p><p>- Responsible for all operational phases of the community; including general office administration, maintenance and direct control of all vendor personnel and resources to the end that the property is maintained, at all times, in a good physical condition with a stabilized fiscal operation. </p><p>- Approve and properly code all invoices, submit invoices with appropriate documentation to Taylor Management’s Accounts Payable Department, verify accuracy of invoice, obtain authorized signatures on checks and mail to venders timely.</p><p>- Assist Community manager in the preparation of annual budget and monitor the monthly expenses and variances. </p><p>- At the direction of the Board ensure that major service contracts are competitively bid and all other goods and services are competitively priced. </p><p>- Responsible for resident relations, receive, delegate or resolve questions, comments and problems presented by concerned individuals.</p><p>- Responsible for supervision of vendor contracts.</p><p>- Establish goals and objectives for management and operation of the Condominium in conjunction with the Board.</p><p>- Preparation of reports, correspondences; supervise the establishment and maintenance of essential records and files; and edit and/or compile public information releases.</p><p>- on call for emergency response 24 hours per day, 7 days per week</p><p>- Supervise and coordinate the following:</p><p>landscaping services</p><p>sanitation services</p><p>maintenance services</p><p>Snow Services</p><p>Special projects as they come up</p><p>Pool</p><p>Security</p><p>Elevator Maintenance </p><p>HVAC Maintenance</p><p>All of the above require interaction between the General Manager and the staff which are hired by the Association. This requires knowledge of the type of work that is being performed and the quality that is expected and the ability to handle human resources problems as they arise.
