GENERAL RESPONSIBILITIES: Support Buyer with all essential functions pertinent to the business category.

REPORTING RELATIONSHIP: Assistant Buyer may report to a Senior Buyer or a Buyer.


  • Responsible for managing orders to the constraints of the open to buy and fiscal budget.
  • Review Orders Due/Past Due weekly; work with Vendors to ensure accurate ETAs on all purchase orders.
  • Responsible for all purchase orders placed; ensure Vendor receipt and acknowledgement.
  • Process and enforce CO-OP agreements to ensure that the company receives credit for all qualifying merchandise.
  • Advise Buyer of inventory concerns on best sellers and advertised product with adequate actionable time to resolve.
  • Collaborate with Visual VP/Director on planograms for Haynes and monthly vignettes configurations for Dump. Convey merchandising strategy and ensure compliance.
  • Manage all aspects of web merchandising including product selection, pricing, promotional campaigns, etc.
  • Must be flexible with work schedules and be available, as needed, to work evenings, holidays, and weekends, with or without advance notices


  • Manage set-up and maintenance of product skus.
  • Write purchase orders. Manage, track, and ensure timely receipts.
  • Review merchandise selling weekly; place and/or adjust orders as needed.
  • Partner with replenishment analyst to ensure appropriate inventory levels by sku.
  • Meet with VP of Planning monthly to strategize receipt flow.
  • Work with logistics to expedite shipments as necessary.
  • Responsible for all purchase orders placed; ensure Vendor receipt and acknowledgement.
  • Track import container flow.
  • Review receiving documents daily for overages/shortages and follow up with vendors on backorders.
  • Hold vendors accountable for meeting deadlines.
  • Work with store personnel to transfer products between stores and the distribution centers as necessary.
  • Work the special order report weekly.
  • Prepare accurate and timely ad submissions. Review sign-offs to ensure accuracy.
  • Attend ad meetings and communicate strategy to stores.
  • Partner with marketing department to develop visual collateral to support launches and ad campaigns.
  • Coordinate timely product photography with photo studio.
  • Assist store team with product questions.
  • Work sales floor as required on special promotion days.
  • Work with CCC and Merchandising to get needed replacement parts.
  • Understand and adhere to Company Policies as outlined in the Employee Handbook and Policy and Procedures manual.
  • Any other duties or responsibilities as assigned by management. i.e. replenishment.


SPECIFIC COMPETENCIES/ SKILLS: Proficiency in math, analysis, spreadsheets, and business software interface. Experience with Microsoft Office applications, esp. Excel and Work are a requirement. Must be detail-oriented, organized, and flexible. Must have excellent communications skills and follow through. Must be able to multi-task and prioritize while maintaining accuracy.

PHYSICAL DEMANDS/ ENVIRONMENT: Regular office environment. May include occasional travel locally or overnight.

TOOLS OR EQUIPMENT USED ON THE JOB: Desktop or laptop computer, landline and cell phone, copier/scanner.


  • Education:
    High School diploma required. College degree preferred.
  • Experience: Retail and/or office experience preferred.

  • Skills:
    Strong math competency. Microsoft Office applications.

RESPONSIBILITIES Purchase all items for ADS from assigned vendors typically will work with preferred vendors. * Buyer will be expected to make decisions on approving and placing purchase orders up to $400,000. * Must be able to manage intricate supplier requirements, minimums, terms and conditions * Review all POs to guard against duplication, pricing errors, or other issues * Typically manage 1000-3000 PO lines at any given point. Manage promise dates and delivery timelines. * Responsible for obtaining tracking information and advising Sales should delays arise. * Required to obtain & communicate tracking/transit details on all rush orders. * Responsible for determining whether an order is to be cancelled based upon customer "need by" requirements and supplier communications. * Make recommendations to Category Managers if suppliers are habitually late Coordinate & track resolutions for problem orders. * Communicate item/supply issues to Sales. * Must be able to develop relationships with Sales and Suppliers in order to facilitate solutions * Utilize CRM (Salesforce) to provide transparency with all communication and concerns with purchase orders/vendors. * Resolve vendor PO non-conformance issues in a timely manner to ensure disruption to the customer is minimized. Develop relationships with assigned vendors to ensure the best possible service and product/ process quality is maintained. Act as liaison between suppliers and Accounts Payables to resolve invoice discrepancies REQUIREMENTS * Minimum 2 years of Purchasing and/or Customer Service experience in a non-call center environment * 2 years' experience in Microsoft Office applications with a focus on Word and Excel. * Must possess strong organizational skills and an ability to multi-task in a fast paced environment. * ADS experience may be substituted at manager's discretion * Prior experience in Oracle is a plus * Successful candidate must be a self-starter with excellent communication, attention to detail, organizational skills and proven ability to work in a fast-paced environment. * Please note: all individuals accepting a position in Purchasing are expected to make a 1 year commitment and will not be allowed to apply for internal transfer without approval from the Purchasing Manager.
