Description:The job of Assistant Attendance Clerk is done for the purpose/s of ensuring accurate attendance accounting within the district; providing general clerical support, information and/or direction as may be assigned; resolving attendance related issues; ensuring compliance with state reporting and documenting requirements; and conveying attendance related information to appropriate parties

Job Summary:

Communicates with students, teachers, parents, district employees, government agencies, etc. for the purpose of resolving problems and coordinating activities and processes.

  • Controls student entry and exit from campus during school hours (e.g. generating admission slips, late notices, class release forms, etc.) for the purpose of ensuring accurate student attendance reporting.

  • Maintains documents, files and records (e.g. power of attorneys, extended absence reports) for the purpose of providing up-to-date reference and audit trail.

  • Maintains inventory of supplies and materials for the purpose of ensuring items' availability when needed. Monitors assigned building activities and/or program components (e.g. incoming mail, locker assignments, scheduled substitutes, etc.) for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.

  • Notifies parents and/or guardians of student absences for the purpose of meeting district, state and federal requirements. Operates automated student attendance system and other software (as available) for the purpose of accurate tracking and documentation of student attendance information.

  • Oversees student workers (runners) for the purpose of guiding and monitoring their performance. Prepares a variety of written materials for the purpose of communicating information to school and district personnel, the public, state officals, etc.

  • Processes a variety of materials (e.g. registrations, withdrawls, grades, school reports, schedules, etc) for the purpose of disseminating information to appropriate parties.

  • Researches discrepancies of attendance information and/or documentation for the purpose of ensuring accuracy of attendance data before processing.

  • Responds to inquiries of staff, other educational institutions, the public, parents and/or students for the purpose of providing information and/or direction.

  • Retrieves authorized student absence information from answering machines and message logs for the purpose of meeting district, state and federal requirements.

  • Schedules various activities for the purpose of assisting in meeting staff needs and efficiently utilizing personnel, equipment and facilities.

  • Supports assigned building personnel (e.g. answer phones, oversee students in office, etc.) for the purpose of ensuring the efficient operation of the site.

Qualifications:

SKILLS are required to perform multiple, non-technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment; preparing and maintaining accurate records; and utilizing pertinent software applications.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and understand complex, multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: business telephone etiquette; district and community activities and culture

ABILITY is required to schedule activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific abilities required to satisfactorily perform the functions of the job include: communicating with persons of varied backgrounds; maintaining confidentiality; working with detailed information; working with frequent interruptions; and working as part of a team.

Working Conditions:

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 50% sitting, 30% walking, and 20% standing. The job is performed under some hazardous conditions
