This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Archivist position with ASOSU at Oregon State University (OSU).

The Archivist shall assist the ASOSU in performing key recordkeeping tasks and supporting procedural operations of the branches of the student government. This includes maintenance of materials in the public interest. This position works providing to the provisions of Title II § E of the ASOSU Statutes. The responsibilities of the Archivist are defined by the above referenced statute. The duties below primarily serve as a summary of the Archivist's role.

Position Duties

  • Maintain files and archive documents when necessary for ASOSU business including, but not limited to, the following:

  • Legislation (resolutions or bills) formally introduced by members of the ASOSU Senate, and any other materials pertinent to the institutional memory of the Senate in the judgement of the primary presiding officer, or a majority of its membership;

  • Unsealed writs before the ASOSU Judicial Council, the decisions thereupon rendered, and any other materials pertinent to the institutional memory of the Judicial Council in the judgement of its chair or a majority of its membership;

  • Upon request, records of additional proceedings of the branches of ASOSU, subject to the available time and best discretion of the Archivist;

  • An up-to-date record of the current membership of the Senate, Judicial Council, Student Fee Committee, and the Executive Branch, as well as any committee members of the ASOSU Student Government are currently serving on.

  • Regularly update the ASOSU Statutes to reflect any passed legislation which amend the Statutes, in consultation with the Student Government Committee, if necessary;

  • Work with body leaders and necessary stakeholders (i.e. Oregon State University Special Collections and Archives Research Center, Orange Media Network, etc.) in the collection and digitization of past ASOSU records in a publicly accessible place, including, but not limited to the following:

  • Legislation (resolutions or bills) passed and signed by the ASOSU President in previous years;

  • The composition of previous years membership of the ASOSU Senate, Student Fee Committee, and Executive Branch, when possible; Unsealed writs from previous years' Judicial Councils;

  • Other materials as requested by the ASOSU President ore respective body leaders, are subject to the best discretion and available time of the Archivist.

  • Ensure the names and positions listed on the ASOSU website are updated to reflect changes on a regular basis.

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study

  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment

  • Must meet the applicable minimal enrollment standard

  • High School student: Regularly enrolled in a high school or participating in a home-schooling program

  • Undergraduate and post-baccalaureate student: 6 credit hours per term

  • Undergraduate international student: 12 credit hours per term*

  • Graduate student officially admitted to Graduate School: 5 credit hours per term

  • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

  • International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.

Additional Required Qualifications

  • ASOSU Constitution eligibility requirements:

  • Be currently admitted to the university.

  • Be eligible for student employment with the university except for requirements regarding credit hours or eligibility for enrollment in the United States.

  • Have been previously enrolled in at least one prior OSU or college-level credit, or be enrolled in first term at Oregon State University

  • Must be available for training for the week of September 16th, 2024.

  • Undergraduate students shall have earned at least six credits hours in their most recently completed term, be currently registered for at least six credit hours, not be on conduct probation, and have a minimum cumulative grade point average (GPA) of 2.00

  • Graduate students shall have earned at least five hours of credit in their most recently completed term, be currently registered for at least five hours, not be on conduct probation, and have a minimum cumulative grade point average (GPA) of 3.00.

  • A commitment to promoting and advancing diversity and creating an atmosphere of inclusion;

  • Communication skills in areas including but not limited to interpersonal, public speaking, digital, verbal, and written communications;

  • Ability to manage time and work accurately with interruptions to meet a deadline;

  • Work well under pressure, exercising flexibility, initiative, good judgment, and discretion

  • Willingness to be adaptable, to accept changes and try new things;

  • Ability to work independently as well as in a team.

Preferred (Special) Qualifications

Experience working with ASOSU, or other organizations focusing on student advocacy, campus involvement, diversity and inclusion, or other related areas
