Summary of Functions

Responsible for the overall operations and activities related to A/R for KTEA and all its entities. This includes hotel and conference collections, direct billing for sales, catering, conferences, linen services, upholstery services, and golf. Ensures that all group account billing is timely and accurate. Handles and reconciles daily credit card batches and charge disputes.

Essential Duties and Responsibilities

  • Ensures compliance with the Kalispel Tribe of Indians- State of Washington Gaming Compact, Internal Controls, NIGC Regulations and Northern Quest Policies and Procedures.

  • Plan, organize, and control operations and activities related to A/R, collections, and direct billing for KTEA and its entities.

  • Responsible for coordinating and directing operations and activities of assigned personnel.

  • Direct supervision of assigned personnel, to include, interviewing and selection, training, performance evaluations, corrective actions and termination.

  • Responsible for overall operation of the A/R area within Finance including monthly reconciliation of accounts.

  • Routing all group billing to appropriate master account and ensuring the group accounts are billed timely and accurately.

  • Participate in meetings related to group and/or convention bookings, and following up on the billing specific of each group.

  • Communicate with clients and Conference Services Manager regarding group charge setup and postings.

  • Correct billing errors, audit charges, and review posting to ensure maximum accuracy.

  • Handle Post event charge inquiries, as well as, research and settle charge disputes.

  • Participate in the development and maintenance of KTEA and all of its entities. policies and procedures.

  • Responsible for calculating and billing of any leased tenants.

  • Monitor and analyze hotel credit management operations for financial effectiveness and operational efficiency, overseeing the development and implementation of new and/or revised standards, services, policies and procedures.

  • Maintain current knowledge of hospitality billing and collection industry trends, innovations, and practices.

  • Communicate with departments, outside agencies, and the public to exchange information, coordinate activities, and resolve issues and/or concerns as required.

  • Provides information regarding accounting policies, procedures and internal controls to team members as needed.

  • Available and willing to work any changes in hours deemed necessary for business levels.

  • Responsible for maintaining a consistent, regular good attendance record.

  • Ensures the highest possible standards of guest satisfaction and Team Member relations are maintained and carried out in a fair and equitable manner in an environment conducive to that goal.

  • Perform revenue audits assigned by management.

Education

  • Associates of Arts and Sciences degree in Accounting, Business Administration, or Hospitality

Experience

  • A/R and Credit experience preferred.

  • One year of Accounting experience required.

Skills

  • Proficient in the use of Microsoft programs and other computer software.

  • Interpersonal, networking, and public relation skills with emphasis on verbal communication and interfacing with a diverse array of people, i.e., executives, management, team members, guests, and /or vendors, using poise and tact.

  • Prepare complex reports, correspondence, charts, layouts, forms, handbooks, memoranda and other information and instructions.

  • Ability to effectively plan, organize, and direct operations and activities related to credit, billing, and A/R functions for a large enterprise with various business areas.

  • Ability to maintain confidentiality.

  • Skill in solving practical problems and dealing with situations where only limited standardization exists.

Other Requirements

  • Ability to obtain and maintain a Tribal Gaming License and a Class III Gaming License.

  • Valid driver's license (Must be in possession while operating a Tribal Vehicle).

  • Work nights, weekends and holidays as required.

Physical Demands

  • Required the ability to lift and/or move objects weighing up to 25 pounds.

  • Constantly requires verbally expressing or exchanging ideas of important instructions accurately, loudly, or quickly.

  • Occasionally requires ascending or descending stairs or ramps using feet and legs and/or hands and arms.

  • Occasionally requires raising objects from a lower to a higher position or moving objects horizontally.

  • Occasionally requires stooping which entails the use of the lower extremities and back muscles. Infrequently requires crouching.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.

The noise level in the work environment is usually moderate.

Travel Requirements

Local travel is occasionally required. Travel outside of the state is infrequently required. Typical travel time is generally less than a week.
