The team:

Datadog's Finance team collaborates with teams across the organization, providing commercial, operational and analytical support to ensure that Datadog's business continues to grow as rapidly and efficiently as possible.

The opportunity:

Datadog is seeking a full-time Accounts Payable (A/P) Clerk to become an essential part of a company's rapidly growing team. Reporting to the Accounts Payable. Lead, this individual will be responsible for processing domestic and international vendor invoices and payments and working with our procurement team to develop purchasing best practices. This role will own the Accounts Payable (A/P) processes for our business ensuring that invoices are processed and paid according to AP policies/controls and that any problems or questions relating to accounts payable are resolved or answered efficiently.

You will:

  • Review all invoices for accuracy and appropriate documentation prior to processing

  • Obtain necessary approvals prior to payment

  • Process, code, and ensure accuracy and completeness of invoices in a timely manner in Bill.com

  • Review GL coding of invoices to ensure expenses are coded in accordance with GAAP

  • 1099 reporting and maintenance of W-9 forms

  • Work closely with vendors/suppliers and internal departments to resolve any

  • Vendor payment issues

  • Reconcile and/or analyze vendor accounts/statements

  • Assist in month end closing

  • Set up new vendor profiles as needed in Bill.com

  • Process vendor banking information in Bill.com

  • Maintain files and documentation thoroughly and accurately, in accordance with

  • company policy and accepted accounting practices

  • Assist with audit requests from both internal and external auditors

Requirements:

  • Bachelor Degree required

  • 2-4 years accounts payable experience

  • High degree of accuracy, attention to detail and confidentiality

  • Excellent data entry skills

  • Strong proficiency in Microsoft Excel

  • Excellent analytical, problem solving and decision-making skills

  • Effective verbal, listening and written communication skills

  • Effective organizational and time management skills

  • Demonstrates a sense of urgency and ability to meet deadlines

  • Ability to work independently or as a team member

  • Strong proficiency in Microsoft Excel

  • Strong system skills and ability to learn new systems quickly

  • Familiarity with Bill.com, Netsuite, and Expensify is a plus

Position Summary: The New York City Department of Education is the largest school system in the nation, with nearly 1.1 million students and 135,000 employees, including 75,000+ teachers and an annual operating budget of over $24.0B+. The Department of Education (DOE) is committed to creating a system of 1,800+ great schools. Advanced Placement for All (AP for All) addresses the wide access and opportunity gaps which exist among traditionally underserved students in advanced placement participation with below average performance on related examinations. The citywide implementation of Advanced Placement for All will target improvement on multiple measures of success: enrollment in AP courses and participation in AP exams, as well as performance on Advanced Placement exams. Through each phase of implementation, we will increase the number of students enrolled in AP courses and their participation in AP exams. In addition, we will increase the percentage of students who score 3 or higher on at least 1 AP exam by graduation. AP for All will support the transformation of schools that either have no Advanced Placement courses or limited AP courses, in order to increase the number of students graduating college and career ready and increase academic rigor across content and grade levels. The Director of Procurement and Operations, AP for All interacts with a broad range of DOE offices and function areas to support all financial and office activities related to AP for All. The Director of Procurement and Operations, AP for All coordinates efforts to align the needs of the office, students, and families with available resources to improve outcomes. Performs related work. Reports to: Senior Director of Finance and Operations Direct Reports: Operations Manager, Timekeepers, Consultants Key Relationships: Division of Equity and Access, Division of Contracts and Purchasing (DCP), Division of Human Resources; various Department of Education (DOE) divisions, offices, and schools. Responsibilities * Manage the development of policies and procedures to streamline and improve operations and purchasing services to schools. * Lead the development of Requests for Proposals (RFPs), including: * coordinating the proposal and selection process with DCP and OA Directors; * reaching out to potential committee members; and * drafting all budget and pricing sheets. * Oversee the creation of orders, collection of invoices and confirmation of payments, in accordance with procurement guidelines as outlined by DCP. * Manage and track per-session related to AP for All. * Prepare budget and procurement reports and make data-supported recommendations on major spending priorities. * Manage changes in spending priorities and request budget modifications based on shifting needs; evaluate and advise on the impact to the budget from the introduction of new programs and procurements; consider both past experience and expected changes to forecast future needs. * Oversee the consultant onboarding process, including the input and management of work dates, hourly rates, and salary caps. * Manage timely and transparent disbursements of payments and generation of purchase orders. * Ensure sound fiscal administration for all related monetary and support functions, including Travel Reimbursement and Approval Certification (TRAC), records management, and purchasing. * Support staffing, recruitment, and onboarding of AP for All staff. * Troubleshoot operational/purchasing problems related to the implementation of AP for All as they arise at individual schools, and escalates to office leadership. * Work with program teams in securing space for professional development trainings and meetings for both small and large groups. * Communicate with DOE offices, City agencies, community organizations, and community representatives regarding AP for All initiatives and events. * Assist in the development of policies to address identified purchasing issues and trends. * Analyze confidential and sensitive data. * Act as liaison in the absence of the Senior Director of Finance and Operations. Qualification Requirements: Minimum * A master's degree from an accredited college in economics, finance, accounting, business or public administration, human resources management, management science, operations research, organizational behavior, industrial psychology, statistics, personnel administration, labor relations, psychology, sociology, human resources development, political science, urban studies, or a closely related field, or a Juris Doctor degree from an accredited law school and two years of satisfactory full-time professional experience, for educational program(s) and/or institution(s) in one or a combination of the following: working with the budget of a large public or private concern in budget administration, accounting economic or financial administration, fiscal or economic research; management or methods analysis, operations research, organizational research or program evaluation; educational, personnel or public administration, recruitment, position classification, personnel relations, labor relations, employee benefits, staff development, employment program planning/administration, labor market research, economic planning, fiscal management, or a related area, 18 months of this experience must have been in an executive, managerial, administrative, consultative or supervisory capacity. Supervision must have included supervising staff performing professional work in the areas described above; or * A baccalaureate degree from an accredited college and four years of satisfactory full-time professional experience as described in "1" above, including the 18 months of executive, managerial, administrative, consultative or supervisory experience described in "1" above; or * Education and/or experience equivalent to "1", or "2" above.
