Position: Antenatal Testing Unit Flow Coordinator

Department: Obstetrics and Gynecology

Schedule: Full Time, 40 Hours, Day


Under the general supervision of the Operations Supervisor and Lead Ultrasound Tech, for the department of Obstetrics and Gynecology at Boston Medical Center, the Flow Coordinator position is responsible for the optimal functioning of the ambulatory Antenatal Testing Unit in Obstetrics and Gynecology. The Flow Coordinator is responsible for the planning, patient care coordination, and direction of the day-to-day operations of the Antenatal Testing Unit, ensuring that clinic meets their standard for performance and service to patients, including but not limited to promoting continuity of care, coordinating non stress testing, prenatal ultrasounds and genetic counseling, patient satisfaction and service recovery, and physician and team satisfaction.


1.Maintains efficient patient flow from check-in to check-out in clinic, including but not limited to:

  • Identifying and facilitating patients who have multiple same day appointments - ultrasound, non-stress testing, genetic counseling, prenatal visits and monitors patient wait time.

  • Identifying patients who are lost to OB care, who need to book OB appointments and facilitating continuity of care

2.Improves compliance with First Trimester screening

  • Reviews patients chart to identify which patients consent to First Trimester blood test

  • Identify any patients with missing consent information on referral and triages with assistance from Lead Sonographer

  • Order and fill out appropriate first trimester screening forms for the blood lab

  • Direct patients to lab for same day blood draws

3.Establishes and maintains efficient communications between front desk and clinical personnel.

4.Works closely and serves as a point person with clinical staff such as sonographers, nurses, medical assistants, MFM physicians and genetic counselors in order to improve patient coordination and care.

5.Ensure warm hand off to Pre Procedure unit for patients with early pregnancy failure and/or fetal demise, severe anatomical abnormalities or any that request options counseling or termination.

6.Communicates information, promotes excellence and quality care.

7.Create onboarding workflow for newly hired medical assistants that will assist in day-to-day operations in the Antenatal testing unit in order to improve quality of care.

8.Assists medical assistants working in the Antenatal Testing Unit, including non- stress testing, with rooming patients, obtaining blood pressures, cleaning rooms, calling no show patients and maintaining and operating Trophon room.

9.Responsible for maintaining Trophon compliance and ensuring monthly reports are completed.

  1. Works cooperatively with team and takes appropriate steps to effectively resolve issues, assist with service recovery and seek assistance from supervisor/manager when needed.

  2. Communicates with Lead Sonographer to schedule "add-ons" on provider schedules (ultrasound, NST, GC)


Work requires Associates degree or equivalent combination of formal education and experience. Completion of Medical Assistant program required (may be substituted with 2 years' work experience as a Medical Assistant or Practice Assistant).


Requires at least three years of relevant work experience with one of the required years of experience in healthcare, customer service or managed care. Experience working in a medical specialty office assisting with day-to-day tasks.

  • Ability to accurately interpret and utilize basic medical terminology and abbreviations.

  • Ability to work independently and to make decisions based on department polices and established procedures.

  • Demonstrated technical competency using standard hospital computer systems including Microsoft Office (Word, Excel, and Outlook), web browsers, and hospital registration systems (such as, IDX, SDK, ClinNet, Logician, Viewpoint, Epic etc).

  • Must be able to maintain strict protocols of all confidential or sensitive information.

VIEW JOBS 5/1/2021 12:00:00 AM 2021-07-30T00:00 The Department of Obstetrics/Gynecology Clerkship Coordinator reports to the Academic Manager and works with the Clerkship Director to coordinate and implement the OB/Gyn Core Clerkship, elective and other educational experiences for medical students. The primary responsibilities include complex scheduling and implementation of all aspects of the Clerkship. This role manages the medical student education initiatives within the BWH OB/Gyn Education Office. The role requires advanced administrative skills, a high degree of organization, the ability to prioritize assignments, and the ability to utilize an enormous amount of judgment/discretion in dealing with confidential matters on behalf of the Education Office. * Responsible for all student activities including all planning and preparation involved in running the core clerkship in Obstetrics and Gynecology. This work involves but is not limited to: preparing complex student rotation schedules, preparing/running student orientation sessions, creating and editing course materials, creating student didactic schedules, and planning/collecting/analyzing evaluation material for grading and evaluation sessions. * Function as the first-contact liaison to students, faculty, residents, community faculty, sites, and Harvard Medical School for any issues or questions relating to the clerkship. * Provide primary support for the clerkship director in matters relating to the clerkship, and function as his/her representative if requested. * Work closely with clerkship course director in organizing and improving overall clerkship structure; interact continuously with faculty members to secure help with lectures, oral exams, and one-on-one faculty mentoring of students * Work independently to manage the daily operations of the student office and the clerkship, organize and prioritize the necessary tasks, initiate changes and resolve issues as they arise. * Understand thoroughly the curricular goals, policies, and standards of the medicine clerkship, department, and medical school. Implement HMS curricular changes into clerkship and other student experiences. Ensure clerkship educational experience is in compliance with LCME requirements. * Participate in education research projects related to education. * Attend and participate in national meetings on the topic of student education, such as the APGO/CREOG annual meeting. * Along with Clerkship Director, brain-storm and innovate ways to best implement new initiatives into student education, examples already completed include the respect and feedback initiatives. * Facilitate onboarding of students, including issuing security swipe access, white coats, pagers, Epic computer access, updating all systems per rotation (Canvas, Oasis, Uwise, Qualtrics, etc) as needed. * Work with clerkship director to implement medical school evaluations in OASIS/Canvas. Collect and distribute evaluations to faculty and residents for evaluation of every student on each rotation. Assist in creation of new evaluation/survey tools, methods and reports as necessary. * Work on creating the grade submissions for all students for review by Clerkship Director. * Utilizing feedback gathered from the students, develop and initiate innovative improvements with the Clerkship Director in the clerkship experience. * Act as liaison between Brigham and Women's Hospital and the Harvard Medical School registrar's office and Primary Clinical Experience team/coordinator. * Track and report all faculty teaching contributions to administrator for faculty teaching stipend calculations. * Track annual medical student teaching ballots for departmental awards. * Work with the Clerkship Director and Medical Student Teaching Chief to manage and organize activities of the residents applicable to medical student education. * Participate in HMS clerkship director meetings and retreats. Participate in meetings with departmental leadership regarding student education. * Assist in preparation of the departmental annual report for medical student education. * Other Student related activities: * Preclerkship - Organizes pre-clerkship elective experiences for HMS students by scheduling sessions with faculty preceptors, on-boarding the student and obtaining appropriate paperwork. * ICM course - Responsible for scheduling: 1) simulation session models; 2) physician/instructors; 3) treatment rooms; 4) conference rooms. Requests processing of stipends for the session models. * Elective rotations - There are currently five elective courses in our department which can accommodate up to six students. The Coordinator functions as the first-contact liaison to students, faculty, residents, community faculty, sites, and school administration for any issues or questions relating to the elective experiences. Facilitates onboarding of students, including issuing security swipe access, white coats, pagers, Epic computer access, updating all systems per rotation (Canvas, Oasis, Uwise, Qualtrics, etc) as needed. Obtains evaluations and prepares grading documentation for review by elective course directors. * Capstone rotations - Harvard Medical School is implementing new Capstone courses. We have two courses in our department. The Clerkship Coordinator will be the main contact with HMS to schedule capstone rotations and operationalize the on-boarding, scheduling and other requirements that HMS may determine. * Student Bootcamp sessions - Manage the HMS bootcamp series for students who will be entering ob/gyn residency programs. Requires high-level administrative organization to coordinate faculty, space, supplies, and student schedules. Sessions include didactics as well as hands-on sessions in STRATUS. Support for Special Projects or Other Education Office Activities: * Assist with residency and fellowship tasks, as requested, including interview day support, planning and administering. * Assist Academic Manager with special projects or other activities, as requested. Level of education required: * Bachelor's degree preferred, or a commensurate level of experience in tasks specific to administration of medical education programs.
