Position: Antenatal Testing Unit Flow Coordinator

Department: Obstetrics and Gynecology

Schedule: Full Time, 40 Hours, Day

POSITION SUMMARY:

Under the general supervision of the Operations Supervisor and Lead Ultrasound Tech, for the department of Obstetrics and Gynecology at Boston Medical Center, the Flow Coordinator position is responsible for the optimal functioning of the ambulatory Antenatal Testing Unit in Obstetrics and Gynecology. The Flow Coordinator is responsible for the planning, patient care coordination, and direction of the day-to-day operations of the Antenatal Testing Unit, ensuring that clinic meets their standard for performance and service to patients, including but not limited to promoting continuity of care, coordinating non stress testing, prenatal ultrasounds and genetic counseling, patient satisfaction and service recovery, and physician and team satisfaction.

ESSENTIAL RESPONSIBILITIES / DUTIES:

1.Maintains efficient patient flow from check-in to check-out in clinic, including but not limited to:

  • Identifying and facilitating patients who have multiple same day appointments - ultrasound, non-stress testing, genetic counseling, prenatal visits and monitors patient wait time.

  • Identifying patients who are lost to OB care, who need to book OB appointments and facilitating continuity of care

2.Improves compliance with First Trimester screening

  • Reviews patients chart to identify which patients consent to First Trimester blood test

  • Identify any patients with missing consent information on referral and triages with assistance from Lead Sonographer

  • Order and fill out appropriate first trimester screening forms for the blood lab

  • Direct patients to lab for same day blood draws

3.Establishes and maintains efficient communications between front desk and clinical personnel.

4.Works closely and serves as a point person with clinical staff such as sonographers, nurses, medical assistants, MFM physicians and genetic counselors in order to improve patient coordination and care.

5.Ensure warm hand off to Pre Procedure unit for patients with early pregnancy failure and/or fetal demise, severe anatomical abnormalities or any that request options counseling or termination.

6.Communicates information, promotes excellence and quality care.

7.Create onboarding workflow for newly hired medical assistants that will assist in day-to-day operations in the Antenatal testing unit in order to improve quality of care.

8.Assists medical assistants working in the Antenatal Testing Unit, including non- stress testing, with rooming patients, obtaining blood pressures, cleaning rooms, calling no show patients and maintaining and operating Trophon room.

9.Responsible for maintaining Trophon compliance and ensuring monthly reports are completed.



  1. Works cooperatively with team and takes appropriate steps to effectively resolve issues, assist with service recovery and seek assistance from supervisor/manager when needed.

  2. Communicates with Lead Sonographer to schedule "add-ons" on provider schedules (ultrasound, NST, GC)


EDUCATION:

Work requires Associates degree or equivalent combination of formal education and experience. Completion of Medical Assistant program required (may be substituted with 2 years' work experience as a Medical Assistant or Practice Assistant).

EXPERIENCE:

Requires at least three years of relevant work experience with one of the required years of experience in healthcare, customer service or managed care. Experience working in a medical specialty office assisting with day-to-day tasks.

KNOWLEDGE AND SKILLS:

  • Ability to mentor, guide and motivate direct reports through demonstration of best practices and leading by example.

  • Excellent organizational skills to set priorities and efficiently complete assigned work.

  • Ability to effectively speak, read, and write English.

  • Requires excellent communication, interpersonal and problem solving skills as well as the ability to give and receive feedback.

  • Excellent customer service skills and ability to communicate in a courteous, pleasant and professional manner with patients, general public, staff members, outside agencies, and all other internal and external contacts.

  • Ability to accurately interpret and utilize basic medical terminology and abbreviations.

  • Ability to work independently and to make decisions based on department polices and established procedures.

  • Demonstrated technical competency using standard hospital computer systems including Microsoft Office (Word, Excel, and Outlook), web browsers, and hospital registration systems (such as, IDX, SDK, ClinNet, Logician, Viewpoint, Epic etc).

  • Must be able to maintain strict protocols of all confidential or sensitive information.

Position: Operations Director Department: Obstetrics and Gynecology Schedule: Full time Reporting to the Senior Administrative Director, the Director is responsible for the administrative management of the Ob/Gyn ambulatory clinic specifically in the areas of personnel, fiscal management, strategic planning, and operations. The Director will support continuity of care across all of the department's clinical activities as they interface with ambulatory care, including surgical and procedural services and in-patient maternal care areas, and maintain a seamless care system for our patients. The Director provides leadership in continuous service and quality improvement, innovation, and staff empowerment. Areas of focus include ensuring optimal patient access to services, improving patient experience, maximizing hospital revenues, driving quality improvement initiatives, optimizing diversity, equity and inclusion, promoting cost-effective management of the practices, establishing work procedures and standards to improve efficiency and effectiveness, facilitating execution of research projects, and meeting quality metrics. The Director works in collaboration with the Chair of Ob/Gyn, the Vice-Chairs, Medical Directors, and nursing leadership in a matrix management team. The Director will also be called upon to contribute to strategic planning at the department level, including overall growth, quality and innovation of programs and services across outpatient and inpatient settings. * Ensures the highly productive and cost effective quality performance of ambulatory services. Works with the Vice Chairs, Medical Directors, nursing management, and other stakeholders to identify, analyze and develop operating policies, systems, programs, and standards. Establishes, approves, and implements administrative policies and procedures. * Translates department, school, hospital, and health system mission and goals into practice goals and objectives. Defines, develops and implements short- and long-term strategies and plans to meet organizational objectives. Identifies needs and problems in relation to attaining goals and objectives based on an analysis of data. * Oversees the production of clinic dashboards that support clinic and provider level decisions regarding operational efficiency. * Analyzes current operations to identify and evaluate program strengths and weaknesses in relation to operational effectiveness. Sets up proper systems to ensure that all services provided are billed. * Oversees efficient operation of the Ob/Gyn ambulatory services. * Supports partnership with our referral sources including primary care on campus and the community health centers to strengthen collaborations and troubleshoot as needed. * Plans practice renovations and moves, including assessment of needs, and space utilization design. Oversees and coordinates all aspects of practice renovations or relocation. * Oversees the coordination of housekeeping, maintenance, and repairs for the units' physical space, ensuring that all areas, equipment, and furnishings are kept clean and in good repair. Recommends needs for capital renovation. * Responsible for designing and staffing the optimal management structure to support unit operations. Hires, trains, evaluates performance, and disciplines as necessary ambulatory practice and staff. Communicates practice goals to employees and fosters a work environment that motivates employees to achieve these goals. Builds a diverse workforce and leadership team through recruitment, mentorship, training, and creation of opportunities for growth. * Provides training in customer service to staff and ensures that patients receive good customer service and are treated properly. Participates in patient service recovery as needed. * Utilizes hospital's behavioral standards as the basis for decision making and to support the hospital's mission and goals. Monitors clinic performance regularly against BMC performance standards and prepares and implements steps to improve performance. * Follows established hospital infection control and safety procedures. * Assists with division-related marketing and new business development.
