Job Description

This posting is for a full-time, 12-month, 40 hours per week, non-exempt position. This position provides direct clerical and administrative support to the Office of Annual Giving and The Wolfe Center for Alumni, Parents & Friends.

Essential Functions

This position requires regular, predictable, reliable attendance in the office environment.

1.Serve as the receptionist in the Office of Advancement and have interaction with the public and campus community. Coordinate efforts to cover office hours over lunch hour and as needed;

2.Clerical and administrative support for director and staff of alumni & parent relations and director and staff of annual giving;

3.Assist with homecoming events, ensuring full availability throughout the homecoming weekend, with adjusted office hours earlier in the week to accommodate these activities.

4.Manage regional alumni chapters, with a focus on creating, implementing, and cultivating new chapters to enhance alumni engagement.

5.Interaction with donors and other constituents in scheduling appointments, communication and providing assistance via phone, email, letter and website correspondence for the director and staff of annual giving and director and staff of alumni & parent relations;

6.Coordinate travel arrangements for the director and staff of alumni & parent relations and the director and staff of annual giving;

7.Complete follow-up correspondence and call reports in a prompt and accurate fashion;

8.Assist with the coordination and implementation of all annual giving and alumni & parent relations events;

9.Make phone calls on behalf of the annual giving staff and director of alumni & parent relations to schedule face to face visits;



  1. Provide clerical and administrative oversight of annual mail appeals based on annual giving and alumni & parent relations schedule (including, but not limited to, giving society materials, birthday cards, general annual giving stewardship, new parents, class reunions, alumni benefits cards, and alumni campaigns);

  2. Monitor matching gifts and follow up on gifts when necessary;

  3. Send phonathon reminders as deemed necessary per a predetermined schedule;

  4. Process alumni updates and database changes;

  5. Coordinate volunteers for alumni & parent relations including but not limited to events, meetings, and other occasions;

  6. Manage office tasks including but not limited to ordering materials and supplies, maintaining office calendar, filing important documents, monitoring email accounts and phone lines for annual giving and alumni & parent relations, scheduling meetings and events relative to annual giving and alumni & parent relations;

  7. Assist with accurately submitting expense reports for department purchases in Workday.;

  8. Provide accurate reporting on pertinent information;

  9. Work with Advancement Services staff to obtain data and information to complete tasks and projects; utilize Raiser's Edge and Workday database systems to access alumni and donor information;

  10. Occasionally assist gift officers with office support matters with approval from the director of alumni or director of annual giving.

  11. Create event materials.

  12. Perform all other duties deemed appropriate for the position.

Work Environment

This job operates in a professional office environment. Please note that this position primarily requires on-site presence. However, remote work options may be considered on a case-by-case basis. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Position Type and Expected Hours of Work

This is a full-time 12-month position, and general hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Travel

A valid US Drivers' license with a safe driving record is required.

Required Education and Experience

1.High school diploma.

2.18 months of office experience.

3.Interest in marketing and graphic design.

4.Some graphic design capabilities with a strong desire to learn.

5.Experience with software and office equipment; Microsoft Office Suite, Raiser's Edge, web base competency, fax, printers, letter folder.

6.Comfort with securing professional appointments for development purposes via telephone conversation.

Preferred Education and Experience

1.Ideally, some coursework in database management and project management.

2.Prior office administrative experience.
