Summary:

This position provides daily functional, operational, and administrative support to in-house and contracted trades persons performing preventive maintenance and daily operations in university buildings. Organizes and administers the identification and scheduling of preventive maintenance activities to meet established requirements to maintain a safe, functional, clean, efficient and attractive living and learning environment. This position requires supervision.

Organizational Characteristics:

  • This position reports to the Director, Facilities Operations. The Manager of the Material Supplies Unit, the Supervisor of the 2Fix/Customer Response Center, the Assistant Director of Grounds, and the Assistant Director of Building Maintenance also report to the Director of Facilities Operations.

  • This position has no direct reports but provides supervision and oversite to technical staff in support of the preventative maintenance function. The nature of the role this position plays within the organization is to schedule, coordinate, and record all preventive maintenance work, and provide consultation & analysis for others in university facilities maintenance programming functions. These activities are part of a constantly evolving, complex schedule of planned maintenance activities.

Essential Functions:

  • Actively maintains the AiM database information system. Schedules planned maintenance activity by preparing work and inspection schedules for in-house and contractors, to ensure work is completed effectively. Supports the assignment of work to employees through periodic release of planned maintenance actions. Maintains direct contact with FM supervisors to provide information on progress of PM work. Responds appropriately to all emergency, sensitive, and routine work requests, to provide reliable service to the university community.

  • Monitors the quality of planned maintenance work management to ensure work meets OSHA, ADA, fire, local and federal regulations. Supports a high level of quality service, which results in a safe, functional, clean, efficient, and attractive living and learning environment. To monitor PM activities throughout the campus and ancillary buildings this position requires staff to be capable of physically walking the campus to inspect equipment rooms, elevators, and other physical assets. Accessing roof locations and other mechanical spaces requires staff to be capable of lifting objects up to 20 lbs., walking staircases, and ascending ladders.

  • Work with the Zone Supervisors, Zone Technicians, and other departments within FM to update the maintenance database to reflect the most accurate equipment data.

  • Assists the assistant director with daily assignments and various duties, such as budget reports, and schedules, to provide timely information to upper management.

  • Attends various meetings, such as monthly facilities meetings, and training sessions, to enhance ability to manage, train, and stay up to date with mission and direction of Facilities management.

  • Close out of AiM work tickets and monitor PM schedules to ensure proper procedures have been followed.

Direct on-site Requirements for Planned Maintenance Program Analyst:

  • Interface with Zone Supervisory staff for information exchange on zone planned maintenance activities.

  • Review and inspection of equipment in the field for asset verification and tagging for planned maintenance programing.

  • Interface with assigned technical staff in support of Quality Assurance/Quality Control.

  • Review and inspection of elevators and wheelchair lifts. The service contract covers 74 elevators and costs over $300K annually.

  • Interface with other Facilities Management Staff to develop data reports for department information.

Supervisory Responsibilities:

  • Responsible for maintaining asset data for mechanical equipment in all American University buildings.

  • Responsible for service contract administration for 74 elevators serving American University buildings.

  • Responsible for managing the Quality Assurance Quality Control reporting that reviews 10-15% of work orders generated.

  • Responsible for helping schedule and complete about 2,000 to 3,000 planned maintenance work orders.

Position Type/Expected Hours of Work:

  • Full-Time.

Salary Range:

  • Commensurate with experience.

Required Education and Experience:

  • Technical Experience in data base administration working with CMMS systems.

  • High School degree/GED.

  • 8-10 years journeyman level trades experience.

  • 2-3 years supervisory experience with various trades in an institutional environment.

  • Ability to read and review blueprints.

  • Experience working in a diverse cultural environment and managing a diverse work force.

  • Valid drivers license.

Preferred Education and Experience:

  • Experience managing Preventive Maintenance work programs.

  • CMMS development and programming experience.
