The Operations & Executive Support Analyst will play a central coordinating role for the Global Payment System (GPSR) function, provide a full range of administrative, clerical, financial, procurement and communications support to the Head of GPSR, some administrative support to other members of the GPSR Leadership team and lead on organizing key GPSR events. Depending on the candidate and level of interest, the role could include support on other critical projects in the function.

The successful candidate will be a self-starter with a passion for getting things done in a global organization. To succeed in this role, the incumbent must possess extraordinary organizational and writing skills including the ability to develop presentations and briefing memoranda for senior executives, build and maintain databases of stakeholder contacts and correspondence manage scheduling, and work-cross functionally with a broad range of internal and external partners. The ability to manage multiple assignments concurrently, efficiently generate high-quality deliverables for senior executives and instill a business improvement culture are crucial.


Administrative support and coordination duties will include, but are not limited to the following:

  • Manage complex, multi-time zone calendar scheduling including, video conferences and group events, with internal and external participants, anticipating & prioritizing schedules based on known deadlines.

  • Actively support and contribute to global projects for the Global Payment System Risk team.

  • Make complex travel arrangements (domestic and international).

  • Prepare meeting materials, including reviewing and editing content, assisting with the creation of presentations, handouts and other related materials.

  • Draft correspondence, making copies, scanning, preparing binders, filing, and directing inquiries to the proper party within the teams and managing visitors.

  • Responsible for Risk reporting such as bi-weekly reports, ORS reports, organization chart updates, Quarterly dashboards, CRP Report

  • Ability to generate and manage internal reporting and follow up action items to closure.

  • Process expense reports in a timely manner.

  • Manage budget and purchase card expenses, including full-cycle contract and purchase requisition process management and procure office supplies

  • Establish and maintain effective and cooperative professional business relationships with all levels of management and employees.

  • Provide administrative assistance to other team members and back up assistance to other teams within Audit, Risk & Public Policy for as needed.

  • Manage multiple email distribution lists and both, onsite and offsite document storage.

  • Bachelor's degree preferred, 5+ years of administrative experience supporting a senior executive in a fast-paced environment with little supervision.

  • Discretion combined with poise and professionalism in all communications.

  • Ability to multi-task and prioritize work with strong attention to detail.

  • Excellent planning, organizational, written and verbal communication skills.

  • Exercise good judgment in setting priorities and interacting with internal and external contacts.

  • Team player with a positive, can-do attitude, and passion for problem solving.

  • Highest integrity and ethical standards. Able to exercise good judgment regarding information that may be sensitive and/or confidential.

  • Advanced proficiency in Microsoft Office and demonstrated strength in developing presentations as well as reviewing and editing briefing documents and other meeting materials.

  • Highly proactive, ability to organize and prioritize across competing priorities to ensure deliverables are met timely and accurately.

  • Professional and effective in-person, phone & email presence.

We have the following exciting opportunity in our Foster City, CA location: Executive Director / Senior Director of Learning & Development (L&D), Access Operations & Emerging Markets (AOEM) Specific Job Responsibilities: This is a leadership role responsible for leading the overall L&D function for AOEM. As such, this role translates the business needs into a L&D strategy and implementation. This role develops, creates and manages AOEM training strategy, needs and tactics on product launches, promotional campaigns, selling skills, new hire training, advanced training and specific affiliate and distributor needs. Develops timelines, structure and process for L&D across products and geographies, including stakeholder map and approvals needed. Selects external agencies and vendors, and manages their work. Establishes and manages the overall training budget including professional services budget. Partners cross functionally with multiple key stakeholders to procure shareable learning deliverables that provide efficiencies in learning creation process. Designs, develops and implements relevant L&D programs and instructional materials for affiliates and distributors responsible for Gilead product sales. Localizes training to region/country needs and market landscape aligned to Gilead corporate and region/country strategy and business. Works in close collaboration with AOEM Public Health & Medical Affairs, Strategic Planning and the Regions on the prioritization, planning and execution of the trainings and to ensure training materials and work-shops are current, effective and compliant with regulatory guidelines. Oversees the organization and repository for all training materials. Manages a team of employees based in Foster City and affiliates, with responsibility for performance evaluation. Recommends solutions for bridging gaps between current organizational capabilities and needs. 30% travel required. Knowledge: Demonstrates strong leadership, organizational and communication skills, and the ability to lead and effectively manage multiple priorities and projects simultaneously.
