The Analyst, Legal Systems is a member of the legal team and works under the direction of the Senior Manager, Legal Systems with input from other senior members of the Legal team. The Analyst, Legal Systems will work closely with attorneys, paralegals, management, field personnel, internal clients, outside vendors, contractors and additional administrative support staff in National Support Offices to provide support integral to the organization's operations relating to data and workflow management. This role requires direct contact with internal clients, the ability to handle multiple complex issues, the ability to work with significant independence and apply critical judgment, sometimes under challenging timelines. The Analyst will also be a key liaison between the legal team, and other internal business teams, related to system platforms leveraged by the Legal department. The Analyst is responsible for maintaining technology platforms utilized by the legal department, including the underlying data sources and technical requirements of the Contract Lifecycle Management ("CLM") platform to ensure optimal functionality and efficiency for Legal users including, but not limited to optimizing how Legal team contract management processes and data for critical workflows.

Responsibilities

  • Serving as the subject matter expert, train new and existing team members on Legal systems processes and workflows, including template configuration and maintenance and data sources and flow, in current state and as they are enhanced or updated.

  • Maintain and enhance various technology platforms (i.e., Alteryx, DocuSign, Salesforce and Smartsheet) utilized by paralegals and attorneys to execute legal functions and workflows, including drafting and execution of various legal agreements.

  • Under the direction of the Senior Manager, Legal Systems, will troubleshoot, analyze, test and support services for applications and platforms utilized by Legal department.

  • Collaborate with other Legal team members to support technological aspects of internal legal department and cross-functional organizational projects as needed or assigned to achieve efficient workflows and outputs, including but not limited to dynamic reporting, evaluating operating systems, and consulting various internal and external partners.

  • Under the guidance of the Senior Manager, Legal Systems, coordinate with organization's subject matter experts to understand and acquire approvals as the legal department's or other attendant systems may impact other departments.

  • Create and maintain detailed knowledge materials (SOPs, user guides, etc.) related to CLM and other interconnected systems utilized by the department.

  • Organize incoming requests and determine use cases to identify, recommend and manage business processes for the Legal Department.

  • Analyze, report and track trends to support data driven-driven recommendations to develop best practices and procedures.

  • Perform other duties or conduct special projects as may be assigned from time to time.

  • Other duties as assigned by Senior Manager, Legal Systems and management.

Qualifications

  • Bachelor's Degree in Legal, Contract Management, Information Technology or related fields. In lieu of degree 5+ years of experience.

  • 4+ years of experience in a large corporate legal setting (in-house preferred, but not required).

  • Experience with Alteryx, Box, Smartsheet, Salesforce and Docusign CLM or similar contract lifecycle management system.

  • Significant experience with contract administration with commercial and corporate contracts utilizing contract management technology.

  • This position requires in-person work onsite at the Irvine support office.

Preferred

  • Master's Degree or Professional Certification in Contract and/or Project Management.

  • Experience with managing all types of contracts relating to corporate transactions, employment, and procurement.

  • Familiarity with Alteryx, Box, Smartsheet, Mulesoft, and/or Litera is a plus.

  • Experience in team leadership, project management and supervising others.

  • Must be extremely detail oriented, self-motivated, time management, judgment skills, and capable of working independently with minimal Manager and attorney oversight.

  • Ability to represent team on specific projects and exercise sound judgement when making independent decisions under pressure.

  • Ability to initiate, prioritize and manage multiple projects simultaneously without compromising the quality of the work.

  • Ability to convey pertinent technical information and instructions to application users in a specific, clear, and concise manner.

  • Well versed in legal and corporate terminology.

  • Ability to develop cross-functional working relationships.

  • Ability to understand and present statements of fact, law and basic legal strategy clearly, logically and concisely in a business-friendly manner.

  • Ability to proactively raise, recommend and resolve issues.

  • Highly developed teambuilding, influencing, and collaboration skills.

  • Ability to direct the work of others and work as a team leader in attainment of goals.

  • Ability to interpret and apply policies and procedures.

  • Ability to handle and maintain extreme confidentially with employee records, compensation information, PII, PHI, etc.
