Assist in coordinating activity related to Alumni Relations and provide office administrative support in the delivery of Alumni Relations services.

Position Type: Staff Required Education:

Satisfactory completion of a minimum of two years college. Associates Degree required.

Required Work Experience: Two years full time secretarial or office administrative work experience to include bookkeeping and public contact.

Additional Education/Experiences to be Considered: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Essential Duties/Responsibilities: Determine event budgets, prepare post-event financial summaries, and deposit event proceeds.

Draft event invitations, maintain record of event registrations, prepare name tags, and programs.

Hire, assist with training and supervise 3-4 student employees that will operate the reception desk for University Advancement & Marketing.

Maintain alumni events records including event registration, membership and dues, and financial information.

Make event preparations including; scheduling facilities, ordering food, decorations, and any other amenities needed to ensure a successful event.

Perform all duties and responsibilities as defined in the Secretary, Levels I and II position descriptions.

Research history and information of alumni and other constituents.

Service inquiries from a variety of internal and external sources related to Alumni Relations operations.

Other duties may be assigned.

Attend meetings and conferences as assigned and needed.

Maintain the confidentiality of designated information.

Reports to assigned supervisor.

Support, promote, and develop University student enrollment and retention initiatives.

Marginal Duties/Responsibilities: Provide assistance for other clerical positions within University Advancement & Marketing.

Skills and Abilities: Communicate effectively with alumni and constituents of the University.

Exercise good judgment and tact in dealing with many different publics.

Input, retrieve, download, merge, output and maintain information from various software programs and systems.

Maintain the confidentiality of highly sensitive personal information.

Meet deadlines and demonstrate excellent organization skills.

Operate all standard office machinery and equipment.

Research, collect, analyze and produce reports.
