Job Summary

The Alumni & Parent Relations Specialist supports the Institutional Advancement team at Millsaps College. This individual provides support for the Alumni and Parent Relations team through management of specific programs including homecoming, anniversary celebration and college admission events involving alumni. This position will assist with the creation and posting of social medial content and systems administration for our new giving platform. As part of the role in engaging alumni, this position will attend Admission team meetings and collaborate in the event planning process for regional recruiting events and college fairs. The coordinator will train alumni on email, phone and letter campaigns and organize assistance with on-campus and regional recruitment events and college fairs. The coordinator is an integral part of the Millsaps fund raising and alumni engagement effort and also assists in staffing other institutional advancement and college activities as needed.

This position works on-site in Jackson, MS with regular office hours from 8:00am - 4:30pm with a one-hour unpaid lunch break. Evening and weekend work will be required, on occasion for major events and initiatives. This position reports to the Executive Director of Alumni & Parent relations and Annual Fund.

Job Duties

  • Facilitate communication with Millsaps alumni and parents including managing department email account and phone lines and providing timely responses to all constituents.

  • Plan and execute local and regional events involving alumni including on campus events, Millsaps nights in other cities and assistance with planning presidential tours and events.

  • Coordinate event logistics, mailings and registration including event staffing.

  • Maintain budget tracking for alumni events including managing the purchase card process and statements, tracking expenses, and managing check requests and deposits.

  • Assist with social medial communications with alumni, parents, and other constituents including creation of content, scheduling posts, proof-reading, and execution of communication plans.

  • Assist with implementation and continuous improvement the college's usage of the Give Campus platform for giving, event registrations and other initiatives.

  • Create an alumni admission recruitment plan with the guidance of the Director of Admission. The plan includes strategies to engage alumni in admission recruitment activities to include outreach, event planning and representation for the college.

  • Work with Admission and IA leadership to develop a process for recruiting, training and mobilizing alumni volunteers, including developing a database of alumni volunteers in each recruiting territory.

  • In partnership with the Admission and Marketing teams, provide alumni with recruiting materials and other items to support alumni outreach efforts to prospective students.

  • Collaborate with our growing alumni network to develop new student/professional networks and garner student referrals. Update the alumni referral process as needed.

  • Participate in Admission team meetings and training sessions to receive updated information about new programs and services in order to lead training for alumni volunteers.

  • Provides support for the Alumni Association Board of Directors and Young Alumni Board as needed

  • Maintains inventory of promotional items for events.

  • Other duties as assigned by the Executive Director of Alumni and Parent Relations.

Qualifications

  • Bachelor's Degree in business, communications or marketing, or an equivalent mix of education and experience

  • Candidates who are Millsaps College alumni are preferred

  • 1-2 year's event planning or event coordination experience

  • 1-2 year's professional office experience

  • Demonstrated professional experience with MS Office suite, hosting virtual meetings, and creating PowerPoint presentations

  • Canva and/or social media content creation and execution experience preferred.

  • Excellent written and verbal communication skills with the ability to work well with others from a broad range of positions, departments and cultural backgrounds

  • Able to work in team environments and individually

  • Detail-oriented, highly organized, creative problem-solver who takes initiative

  • Ability to follow directions and complete tasks accurately as well as accept supervisory input and constructive criticism

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

  • Candidate may also be required to stand for extended periods during college fairs or events.

  • Manual dexterity needed for keyboarding and other repetitive tasks.

  • Must be able to lift and move up to 25 pounds without assistance.

  • Travel and/or irregular hours during high volume periods, including evenings and weekends, are required.

  • Candidate must have a valid driver's license and insurability.
