Position Summary

The role of Engagement and Annual Giving Programs is to build a strong and lasting connection between the university and its community, nurturing a sense of pride, belonging, and active involvement. We strive to establish a pathway that enables alumni, parents, and friends to develop a lifelong philanthropic relationship with WashU, contributing to its growth, sustainability, and continued excellence.

The Networks team works closely with our colleagues across Advancement and with alumni and parent volunteers to create meaningful engagement opportunities through the regional, shared interest and cultural, and professional industry networks.

The coordinator reports to Director, Alumni Networks, and assists the entire Networks team on project management related to event planning including venue procurement, event logistics, budgeting, and volunteer management. The coordinator will hold the team to consistent standards of success when it pertains to volunteer experiences and best practices. This position requires managing a large volume of information and detail, as well as working with all Network team members and volunteers across the country.

Job Description

Primary Duties & Responsibilities

  • In cooperation with directors, assist in the planning and execution of virtual and in-person events. Responsibilities may include communicating with alumni and constituents, coordinating with vendors, venue research, managing RSVP lists, guest requests/needs, and event follow-up.

  • Support Network directors with volunteer management, including creating and managing resources for networks volunteers, trainings, and records. Will assist Directors with committee management such as agendas, invitations, guest tracking, taking minutes, and follow-up communications. This role will also assist in tracking volunteer term limits and creating consistent volunteer experiences.

  • Perform other duties as assigned.

Preferred Qualifications

  • Experience with volunteer management, event planning, administrative support, customer service preferred.

  • Outstanding oral and written communication skills.

  • Ability to work successfully with administration, faculty, alumni, parents and volunteers as appropriate.

  • Ability to listen carefully, learn quickly, and work effectively in a complex organization. Exceptional interpersonal skills: demonstrated ability to build and maintain relationships.

  • Ability to prioritize and multi-task effectively.

  • Desire and ability to work collaboratively with colleagues across development offices, as well as independently.

  • Ability to stay task-oriented without supervision.

  • Honesty, integrity, and enthusiasm; a very strong work ethic, supported by commitment and follow-through.

  • Demonstrated strength in organizational and project management skills.

  • Familiarity with and appreciation for the mission of University Advancement and the activities of the department.

  • Desire to play a meaningful role in the University's community and to share in the community's commitment to education and research.

  • Knowledge of and proficiency with computer software (Microsoft Word, Excel, Outlook, PowerPoint, FileMaker Pro) and standard office equipment.

Required Qualifications

High school diploma or equivalent high school certification plus three years of work experience, or equivalent combination of education and experience.

G08-H

Salary Range

$20.76 - $32.21 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
