Allied Minds is searching for a Sr. Manager, Payroll & Benefits to join the Human Resources team, and lead the strategic planning, analysis and administration of all payroll programs and employee benefits. The Sr. Manager, Payroll & Benefits will be responsible for maintaining accurate data in the payroll/HRIS platform as well as leveraging the system to increase operational efficiencies not only of the HR department but also cross-departmentally.



  • Ensure payroll is processed and consistently delivered in an accurate, timely and compliant manner. This includes the weekly/biweekly production of multi-state payroll(s), including garnishments, benefit contributions and payroll related taxes for over 100+ employees consistent with federal and multi-state wage and hour laws for all hourly and salaried employees

  • Provide payroll register information and other necessary reports to Finance team

  • Audit / verify 3rd party processing of statutory reporting and compliance filing(s) to ensure accuracy, compliance and timeliness. This includes, weekly/monthly/quarterly payroll taxes, W2's and ACA filings

  • Fund 401(k), HSA,FSA and Commuter Benefits each pay period

  • Develop payroll related policies and procedures that comply with federal/state laws. Provide assistance in developing/ensuring adherence to approved policies and procedures.


  • Partner with external benefit broker on annual benefits renewals and open enrollment processes and employee communications

  • Lead contact for employee benefit questions and issues

  • Administer health and welfare plans including enrollments and terminations; optimize technology, in particular the ADP Workforce Now to streamline efficiencies of this process

  • Partner with Finance team on verifying benefit billing accuracy prior to payment processing

  • Partner with TPA on COBRA administration


  • Establish, in conjunction with the Sr. Director, Human Resources, objectives, goals, and priorities for increasing the organization's use of the ADP Workforce Now platform solutions to support departmental activities/initiatives

  • Optimize the use of technology and develop tools to minimize transactional HR activity

  • Work with colleagues using integrating systems to identify problems, suggest solutions, and determine associated costs

  • Develop, direct, and lead HR data and reporting strategy. Based on organizational and strategic priorities, design, develop and deliver mechanisms for reporting and analyses to provide senior leadership, Finance and HR with ongoing organizational information and decision support.

  • Promote proactive approaches to using the ADP Workforce Now platform to solve business needs/problems while also enhancing the understanding and usage of the platform's capabilities across departments and functions

  • Document new HR processes and forms to meet changing requirements; communicate changes, create training materials, and facilitate training as needed.

Other - Human Resources:

  • Lead employee onboarding and off-boarding across all portfolio companies, liaising with various internal departments to ensure a smooth new hire/departure experience

  • Guide employees through, and administer all facets of all companies' employee leave programs (FMLA, STD, LTD, parental, bereavement, etc.)

  • Other projects as assigned by the Sr. Director, Human Resources

  • Minimal travel to portfolio companies may be required


Essential Qualifications:

  • Bachelor's degree or equivalent work experience

  • 10+ years of experience leading payroll for multi-state organization(s) of 100-500 employees

  • Recent (within the past 1-2 years) experience using the ADP Workforce Now platform

  • Experience working in VC/PE, management consulting or law firm is preferred but not required

  • Demonstrated high sense of urgency for critical timelines

  • Excellent communication and interpersonal skills

  • Ability to deal with confidential information

The position is responsible for assisting in executing controls over the processing in excess of $500 million annually to 14,000 employees and students, including Princeton University's foreign national student and faculty population of roughly 2,000 people. The Senior Payroll Analyst assists with overseeing the payroll production cycle, processing of payroll data including the audit, quality control, and recording for the monthly and bi-weekly payrolls. The incumbent will process the outbound vouchers that support payment of benefits and other related items and will support the Payroll Specialists in ensuring that the University's bi-weekly, monthly, and supplemental payrolls are timely, accurate, and compliant. Responsibilities Manage Payment File Transmissions * Analyze, perform impact analysis, and incorporate additional payment, benefits, or 3rd party transmissions into the delivery process. * Generate, transmit, and reconcile files associated with post-confirm payroll processes. * Audit files for thoroughness and accuracy. * Communicate and escalate issues and risks in a timely manner. * Establish and maintain process documentation for new procedures.
