Agency Management Systems (AMS) Coordinator

Department: Employee Health & Benefits

Status: Non-Exempt

Reports To: AMS Operations Manager

Summary:

Under the supervision of the AMS Operations Manager, the Coordinator administratively supports operations and acts as a liaison between Accounting & the Orange County/Los Angeles office sales & service teams. The AMS Coordinator gathers information, responds to routine requests, and is responsible for the administration and operational compliance of BenefitPoint.

Essential Duties & Responsibilities

  • Act as the primary expert to support BenefitPoint for the Orange County / Los Angeles offices

  • Gather necessary information from the sales & service teams to data enter new clients and new policies into BenefitPoint prior to commission application by the Accounting team.

  • Run renewal reports and reach out to teams in advance of client renewal dates. Ensure policies renew prior to commission application by the Accounting team.

  • Respond to requests for information and updates by the Accounting teams, both national and regional.

  • Contribute to the design of and continual development of BenefitPoint policies and procedures that colleagues will use.

  • Work with Operations staff to run monthly and ad-hoc reports as requested.

  • Follow current practices for BenefitPoint entry and renewals and suggest procedural updates as necessary and as we experience growth.

  • Responsible for the integrity and accuracy of the information in BenefitPoint.

  • Add chargeback products to BenefitPoint, as requested.

  • Work with the AMS Operations Manager on general updates and BenefitPoint clean-up projects.

  • Create and utilize reports in BenefitPoint for benchmarking and other reports as needed.

  • Train and assist Orange County / Los Angeles colleagues on how to use BenefitPoint, as requested.

  • Work closely with AMS and Operations Coordinators in other offices.

  • Provide administrative and operational support for the client service team

  • Follow processes and procedures as outlined in the Procedure Manual.

  • Ensure delivery of electronic mail to colleagues in a timely fashion.

  • Responsible for delivering consulting invoices to colleagues.

  • Other projects as assigned.

  • Develop good relationships with others on the client service team

  • Work closely with all offices regarding all internal operations procedures and processes, as necessary.

  • Maintain professional standards when working with carriers and internal clients.

  • Share operational process and procedures with colleagues to create a network of information within the department.

  • Attend monthly sales meetings, quarterly department meetings, team meetings and others as requested.

Education and/or Experience

Successful candidate will be a service oriented individual with high personal standards and a hands-on work style. This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and deadlines simultaneously, adjusting priorities often, and managing frequent interruptions.

This position interacts with and provides service to internal associates and contact with external vendors. The AMS Coordinator must be positive and approachable, and work effectively with diverse personalities. In addition, the following is required unless otherwise noted:

  • Successful work history to include 3 years of experience in a professional office setting directly related to job responsibilities specified above.

  • Knowledge and understanding of medical, dental, vision, life and disability insurance plan structures, preferred.

  • A bachelor's degree preferred.

  • Proficiency with personal computers and Microsoft Office applications (i.e., Word, Excel and PowerPoint) in creating presentations and documents, including database and spreadsheet data entry. The ability to operate standard office equipment.

  • The ability to perform basic arithmetic, calculate percentages, and percentage increases/decreases.

  • Skill in organizing resources and establishing priorities.

  • Demonstrated ability to resolve problems and present results neatly, with clarity and precision in oral and written form.

  • Ability to maintain flexibility and composure under pressure.

  • Demonstrated ability to develop, plan, and implement short- and long-range goals.

  • Maintain a valid Driver's License & have reliable transportation.

Work Environment & Physical Demands

  • Ability to use computer keyboard and sit in a stationary position for extended periods.

  • Work is performed in a typical interior/office work environment.

  • 5% travel may be required to visit other offices.

The applicable hourly rate range for this role is $17.57 to $37.42. The hourly rate offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis.
