Advancement Services Specialist

Reporting to the Gift Processing Manager, the Advancement Services Specialist handles numerous gift processing and system support tasks and projects for the University's alumni and donor database. The work of this position enhances the overall health and integrity of the alumni and donor database.
ESSENTIAL JOB FUNCTIONS:
65% Gift Processing
Assists the Gift Processing Manager with the timely and accurate processing of gifts and pledges, including: preparing incoming gifts and pledges for processing, entering and verifying donation transactions, importing larger sets of gift records, and preparing cash and checks for bank deposit
Reviews donor documents to interpret and code for data entry
Generates simply gift queries and reports upon request
Assists the Gift Processing Manager with document retrieval and research needed for critical and time-sensitive projects (eg. documentation for the annual audit)
Serves as preliminary contact in addressing gift related inquiries for both internal and external constituents
Fills in for the other Advancement Services Specialist /Gift Processing Manager with gift posting and reporting
Other gift processing related duties as assigned
35% Data Entry & Research
Inputs and updates demographic information about donors, alumni and friends of SU into the alumni and donor database.
Verifies and updates demographic and educational information in the alumni and donor database, utilizing various research tools, other University data sources, and personal correspondence with internal and external constituents.
Identifies data integrity issues and collaborates with other Advancement Services staff in managing a queue of database cleanup projects.
Handles requests to research and update biographical information in the alumni and donor database.
Other bioupdate projects as assigned
Bachelor's degree and/or any combination of education and experience sufficient to successfully perform the essential duties of the job
Excellent computer proficiency, particularly the Microsoft Office suite of products.
Demonstrated attention to detail and accuracy.
Strong organizational skills and ability to work in a fast-paced environment with regular interruptions.
Ability to communicate effectively both verbally and in writing with technical and non-technical personnel.
Ability to work independently as well as establish and maintain harmonious relations with other staff, faculty, students, alumni, and donors.
One or more years of relevant work experience with relational databases including data entry
Experience working in fundraising and/or higher education
Experience providing systems support for multiple managers
Raiser's Edge Experience a plus
