Department Summary

Position Summary

The Communications Assistant (assistant) will provide administrative support and coordination to the Advancement Communications team and play a crucial role in the success of the department's mission.

The primary duty of this position is administrative. This position is responsible for calendar scheduling for the senior director, making travel reservations, paying invoices, creating reports, and more. Additionally, they will oversee team-building activities, facilitate internal operations, oversee internal team communications, and manage virtual documents. Editing and writing are key to the role.

Additional core duties include marketing, communications, market research, and reporting. The assistant will support the Senior Director of Advancement Communications, and assist in the execution of communications and marketing strategies communicator in compliance with brand standards as set by University Communications.

The assistant will need to be an excellent communicator, energized by change, highly organized, and adaptable. They will need strong skills in providing customer service to colleagues, donors, alumni, and friends of the university from a variety of backgrounds. The ability to take appropriate initiative in prioritizing work as well as the ability to work successfully in a collaborative environment are also key skills needed in this position.

Administrative assistants in University Advancement typically work a hybrid schedule and are expected to be able to work in the office regularly, with some flexibility for remote work depending upon the specific position and responsibilities.

Minimum Requirements

  • Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
  • An Associate's degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

  • Ability to interact, communicate, and work effectively with individuals, recognizing and respecting the many and varied identities of each person.

Preferred Qualifications

  • Previous work experience as a Communications Assistant, Communication Specialist or similar role.

  • Working knowledge of design software (e.g., Photoshop, InDesign) and content management systems.

  • Proven skills in marketing communications, web content management, social media marketing or public relations.

  • Experience using project management tools.
