Universal Music Group, is looking for a dynamic Administrative Assistant to provide support to the Senior Vice President of Creative. The ideal candidate is obsessively detailed, pro-active, has a knack for problem solving and a "can do" attitude. Passion for music, entrepreneurial spirit, polished professional demeanor, and the ability to keep calm under pressure are musts.

Job Functions:

  • Extensive travel and meeting coordination

  • Calendar management

  • Covering phone lines

  • Meeting of guests and help with general queries

  • Monthly expenses, reconciliation and processing

  • Regular meeting prep, coordination and schedules and notes

  • Contract preparation for photo shoots, illustration, etc.

  • Invoicing, tracking, PO preparation and budget tracking for all creative projects

  • Additional duties as assigned

Job Requirements:


  • Ability to interact comfortably and effectively with employees of the company at all levels including Executive Management

  • Ability to interact comfortably and effectively with external partners and clients

  • Possess strong attention to detail, problem solving and organizational skills

  • Advanced Microsoft Office skills including Outlook, Word, Excel

  • Proactive in determining roadblocks

  • Ability to work under high pressure and speed

  • Great social and interpersonal skills

  • Ability to keep information highly confidential

  • Flexible and able to multi-task


  • 1-2 years of administrative experience


  • Bachelor's Degree a plus

VIEW JOBS 8/17/2019 12:00:00 AM 2019-11-15T00:00 REPORTS TO: Director, Marketing Operations and Print Production BUSINESS/LOCATION: BHQ- NYC OVERVIEW: The role will be responsible for coordinating all logistics relating to marketing events including but not limited to photo shoots, digital assets, retouching, as well as managing the internal production of direct mail fashion books RESPONSIBILITIES: Photo Shoots * Support the logistical execution of all marketing events (trend shoots, PR events, etc.) * Operate as the main point of contact for all communication with production companies * Cultivate and maintain relationships with photographers, agents, models and stylists * Create agenda and coordinate all marketing pre-photo shoot meetings and provide recap to team members after each meeting to ensure there is alignment and creative team is executing to what was agreed upon * Proactively address any problematic timing issues leading up to photo shoot date to ensure successful shoot * Facilitate concept development by partnering with fashion design concept team and creative team * Maintain accurate record of shoot dates and call sheets (persons involved) * Partner with the merchant team to collect samples needed and track the sample returns and pick-ups for all vendors * Organize the sample closet by category and delivery, and also maintain shoe inventory for shoots * Ensure merchandise information from merchant teams is accurate and identify when merchandise is being set Digital Assets and Retouching * Oversee archival organization and maintenance of digital and material assets from raw shot to final retouched round, to share creative team, celebrity teams and send approved hi-res to external printers when necessary * Primary administrator for Global Edit (current digital asset management system) * Responsible for naming all images and ensuring most final version is on Global Edit and on internal scan server * Responsible for working and keeping track of multiple retouchers' work to make sure images are delivered on time * Responsible for logistics of proofs/mark ups back and forth to retouchers until shot is final approved Production * Coordinate and route all direct mail fashion books through merchandising team and senior management * Ensure creative team addresses all merchant and senior management call outs for each round of approval * Review final book sent to the printer to ensure all changes were addressed * Maintain the marketing budget; complete and reconcile invoices. Expense reports and retouching budget tracking * Coordinate the marketing calendar- scheduling appointments Required Experience QUALIFICATIONS: * 5-7 years of experience with strong proficiency in Microsoft Office Suite * Team player with strong verbal and written communication skills, able to work cross functionally to achieve goals under tight deadlines internally and externally with outside vendors * Detail-oriented, proactive and analytical problem solver * Able to plan and prioritize responsibilities to ensure goals and objectives are completed on time and on budget EDUCATION: Bachelor's Degree or relevant work experience Job Location NEW YORK, New York, United States Position Type Full-Time/Regular Apply New York & Company New York NY
