Summary:

The Admission Director is responsible for managing and directing the admissions process and the marketing program. Responsibilities include facilitating a positive relationship with hospitals, doctors' offices, nursing homes and other related health care providers.

Primary Responsibilities and Essential Functions:

  • Manage the inquiry process and respond to referrers/referrals ensuring an immediate response, within one hour whenever possible;

  • Handle inquiry calls from hospitals, families, etc., and provide appointments that include a presentation, tour and closing. Ensure a positive admission experience for resident and family;

  • Maintain census goals, updated bed availability and facility services information by working with facility's interdisciplinary team;

  • Make sales calls outside the facility to medical, insurance, legal and financial professionals, senior organizations, appropriate special interest groups, hospital discharge planners and other community contacts;

  • Compile and distribute admission papers which includes communicating the admission criteria to referral sources, residents and families;

  • Ensure that all papers are properly completed, signed and distribution of paperwork to appropriate individuals;

  • Meets with family and resident on day of admission and ensures appropriate preparation of room and introduction to nursing staff;

  • Work with the Administrator in creating facility materials such as press releases, brochures and advertisements;

  • Maintains thorough knowledge of medical, social and financial information relating to elder care including but not limited to Federal and state regulations and Medicare/Medicaid regulations and reimbursements;

  • Conducts follow-up on all inquiries which have not converted to admissions;

  • Held expedite admissions process for emergencies;

  • Works with Administrator and appropriate staff to ensure consistent, effective admissions, discharge, and transfer meetings;

  • Maintains reports on all inquiries (pending and lost), admissions, and discharges;

  • Develops and maintains referral base and nurtures referral relationships;

  • Work with nursing and housekeeping staff in maintaining a model room for tours;

  • Maintain relationships with legal and financial professionals, senior organizations, assisted living and senior housing facilities, appropriate special interest groups, churches and other community contacts that may be potential referral sources;

  • Work with Administrator to ensure resident satisfaction and to assess/respond to resident satisfaction surveys;

  • Participate in meetings to alert appropriate staff members of projected admissions, room changes, discharges and appointments/tours;

  • Communicate special needs of new admissions to staff to ensure a smooth transition;

  • Concerns him/herself with the safety of all facility residents in order to minimize the potential for fire and accidents. Also, ensures that the facility adheres to the legal, safety, health, fire and sanitation codes by being familiar with his/her role in carrying out the facility's fire, safety, and disaster plans;

  • Always puts customer service first. Ensures that residents and families receive the highest quality of service in a caring and compassionate atmosphere which recognizes the individuals' needs and rights;

  • Performs other duties as requested

Education:

  • Minimum of one (1) year admissions experience in a health care setting.

  • Minimum of two (2) years college education in the field of health care administration, business management, and/or marketing or public relations preferred.
