Foundations Recovery Network's mission is to be the leader in evidence-based, integrated treatment for co-occurring mental health and substance use disorders through clinical services, education and research. This role will be located at your regional office in Brentwood, TN. Foundations Recovery Network is part of the behavioral division of UHS.

Position Summary

The Admission Coordinator (AC) answers calls from prospective patients from across the country in need of addiction treatment. Using excellent listening, investigative, and communication skills the AC engages with each prospective patient to identify their particular need and ultimately converts the call to an admission for the appropriate treatment solution. The AC accurately, thoroughly, and clearly documents each patient interaction in our CRM system.

Job Requirements

Essential Duties and Responsibilities

  • Answers phone calls (within two rings), emails (within one hour), and chats and texts (within 1 minute) from prospective patients seeking mental health and/or addiction treatment, referral accounts, mobile assessors, and business development representatives in the field.

  • Accurately and completely records all patient and patient-related interactions and information in our CRM system (SalesForce)

  • Makes appropriate number of attempts (minimum once daily) to contact patients associated with any open file

  • Follows up with patients as needed or as requested by managers for coworkers on PTO or on other shifts

  • Identifies outpatient leads and refers them to the appropriate team member for qualification

  • Skillfully asks probing questions as to how the patient heard about FRN, particularly if it was from one of our many referral sources

  • Notifies the Referral Account Team according to established protocol whenever dealing with a referral source, whether it is assigned, unassigned, or unlisted

  • Meets and strives to exceed monthly goals

  • Cooperatively works with Operations team, Referral Account team, and Business Development team with potential patient and/or referral source

  • Sets the patient at ease by carefully explaining all aspects of the evaluation and admission process and about their selected facility

  • Provides directions or arranges appropriate transportation services as needed to transport patient to programs; follows through to ensure that travel plans are made and communicated effectively so that the client's arrival at the facility is seamless

  • Solicits assistance from coworkers, team leads, and manager when encountering barriers.

  • Assists others in overcoming barriers

  • Performs all other duties as assigned

  • Demonstrates a broad base of knowledge in psychiatric and addiction treatment and administration

  • Demonstrates a general understanding of health insurance and insurance industry nomenclature.

  • Demonstrates ability to clearly and succinctly communicate in both written and verbal forms

  • Demonstrates an active desire to drive for results; steadfastly pushes self and others; consistently meets and/or exceeds goals

  • Must be able to work in a fast-paced environment with demonstrated ability to manage multiple competing tasks and demands

  • Must be punctual

  • Skilled at quickly building rapport and developing relationships

  • Ability to remain calm and diffuse high-tension situations

  • Ability to exercise good judgment and apply common sense understanding to carry out instructions furnished in written or oral form

  • Must have strong working knowledge of Microsoft Windows operating systems, MS Office software, and experience with CRM systems

Education and Experience

  • Bachelor's degree or equivalent experience preferred

  • Minimum of 1-3 years of experience in transactional/relationship sales preferred (not customer service)

  • Experience in substance abuse or behavioral health is desired

Work Environment and Physical Demands

  • Must be able to communicate effectively by telephone, email, chat, and text.

  • Long periods of sitting

  • Emotionally demanding role when dealing with patients and families in crisis.

  • Constant use of computer requiring manual dexterity.

  • Ability to read, write and analyze detailed information.

  • Hours of operation: 24 hours/day, 7 days/week
