The Admission Database Administrator is responsible for day-to-day processes conducted in the institution's customer relationship management system (Technolutions Slate) in union with secondary databases designed to enhance recruitment. Under the direct supervision of the Assistant Director of Technology and Operations, the Admission Database Administrator will oversee application material processing, data error corrections, record updates, and regular system maintenance. The Admission Database Administrator will work closely with members of the admission team to oversee the quality of our Admissions Slate instance. This position is located on Truman State University's campus and is not eligible for remote work.

Responsibilities

  • Report directly to the Assistant Director of Admission - Technology and Operations and participate as a member of the Admission operations team.

  • Provide holistic database and office support in answering phones, responding to questions, and following up on requests via phone, email, or in person.

  • Update student record information as required.

  • Manage mailing lists and coordinate regular bulk mailing, ensuring accuracy of data delivered to mail houses.

Application Review

  • Assist with all phases of the application and material processing, application review and admission decision.

  • Add, confirm, and release decisions to student records.

  • Conduct preliminary application review and automatic scholarship calculation during peak recruitment and travel seasons.

Database and Technology Maintenance

  • Oversee admission application processes, including maintenance of material and data integrity in multiple databases.

  • Manage day-to-day usage of the CRM and Banner for admission application and scholarship processes.

  • Monitor application decisions in CRM.

  • Update source, contact, and high school information to ensure accuracy.

  • Create emails, queries, events, forms, and related communications, as requested.

  • Upload datasets from various recruiting methods.

  • Correct any errors across databases concerning student data.

  • Maintain and manage technology inventory for the Admissions Office, including all technology accessories.

  • Monitor reports for accuracy and delivery to necessary parties.

  • Provide data to staff members as requested, reviewing for accuracy or updates.

  • Troubleshoot Slate-related issues and communicate with appropriate staff.

Staff and Student Worker Training

  • Provide direction/guidance to student workers regarding project priorities and procedures.

  • Serve as trainer/coordinator for those designated to assist with processing.

  • Train new staff on use of Banner and Slate CRM, including application processing and mailing processes.

Special Projects and Other Duties

  • Alert supervisor when additional processing assistance is needed.

  • Maintain detailed written documentation of tasks and processes.

  • Continue professional development of technical skills necessary to work in a CRM.

  • Other duties and special projects as assigned.

Required Qualifications

  • Bachelor's degree or equivalent combination of education and work experience from which comparable knowledge, skills and abilities can be acquired.

  • Knowledgeable on best practices to optimize technology use with campus partners of varying ability levels across campus, including ability to explain complex processes with external stakeholder groups.

  • Operational thinking.

  • Willingness to work non-traditional hours for special events.

Preferred Qualifications

  • Experience with a customer relations manager, Technolutions Slate

  • Experience with Ellucian Banner or other ERP.

  • Knowledge of best practices for CRM use in higher education and/or other industries.
