The Admission Coordinator supports the Director of Graduate Business Admission in all aspects of the recruiting and admission process. Key function of this position is the physical and electronic handling of all applicant documentation through Slate (CRM) and Banner. Additionally, this position serves as the first point of contact for most prospective students. This position requires a high degree of attention to detail and strong organizational and analytical skills.

  • Assists the Director, Graduate Business Admission with processes and workflows of the Graduate Business admission cycle.

  • Tracks completion of files and generates acceptance letters and letters requesting additional documentation for file completion via Slate.

  • Creates and monitors several Slate queries and mailings related to inquiries, applicants, and admits to ensure a high level of customer service through the admission process.

  • Provides weekly update of inquiries, applications admits, and enrolled students through Slate reports.

  • Creates and adds information session events for on campus and virtual sessions for Slate and Rockhurst Website, and ensures communication for events is accurate.

  • Builds forms on an as-needed basis related to inquiry information and feedback post-events.

  • Provides efficient and extremely accurate data entry support for Banner and Slate data base entries.

  • Uploads to Slate all application-related documents and places them into the appropriate student records in a timely manner.

  • Transfers all admitted students from Slate to Banner and cleans all records in Banner for permanent student record.

  • Ensures all data is accurate for personal information, application program interest and entry term, colleges and universities attended, and contact information.

  • Initial point of contact for graduate business program inquiries (excluding Executive MBA).

  • Replies to all inquiries in the graduate business admission inbox, or will forward inquiries to the Director for review.

  • Answers student responses regarding application process, GMAT test (where to take, how to prepare, score needed), transcripts, meeting with MBA Adviser, Jesuit heritage, career information etc.

  • Maintains calendar for Director of Graduate Business Admission and Director of Graduate Business Advising.

  • Schedules new student appointments for Director of Graduate Business Advising and Director of Graduate Business Admission.

  • Maintains adequate stock of Graduate Business Admission office supplies, reviews marketing and promotional materials and provides general Helzberg School of Management office support as required.

Minimum Qualifications:

  • Bachelor's degree in a field appropriate to the area of assignment AND at least one (1) years of related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications:

  • Experience with student recruitment and admission practices.

  • Experience working with Slate CRM or other CRMs.

  • Experience working with different databases in higher education like Ellucian Banner or something similar.

  • Experience in organizational management and prioritizing for effective and efficient use of time and resources.

  • Experience in developing and maintaining effective working relationships.

This position is responsible for planning, coordinating and executing admissions activities for an assigned recruitment territory to ensure that enrollment goals, objectives, programs, and projects are accomplished in accordance with priorities, timelines, funding limitations and other specifications. Essential Responsibilities * Formulate and implement recruitment strategies, plans, and goals for an assigned recruitment territory based on market research and other admissions data. * Develop working knowledge of Rockhurst University's distinctives, programs, policies, and procedures. * Initiate and maintain relationships with prospective students and families via phone, email, text message, and in-person communication. * Develop and maintain relationships with school counselors/advisors and other school, agency and community officials in the region. * Communicate information about Rockhurst's admission requirements and procedures to prospective students, families, counselors, community-based organizations, and alumni volunteers through excellent written and verbal/presentation skills. * Communicate financial aid and scholarship procedures, practices and awards to students. * Travel extensively to schools and attend college fairs in assigned regions. Strategically identify key schools with the greatest potential for enrollment success for closer cultivation and attention. * Coordinate recruitment activities to include travel within the assigned territory, with evening and weekend work expected to cover events and recruitment activities. * Determine initial admission decisions for all applications received from assigned territory. * Maintain accurate reports and records pertaining to school visits, recruitment funnels, and communication activities. * Monitor admission trends in critical markets and implement contingency plans as needed. * Execute responsibilities in an environment that provides a high level of autonomy while keeping supervisor informed of progress towards attainment of admission objectives. * Other duties as assigned.
