The USC School of Pharmacy is accepting applications for an Administrative Assistant I to provide general administrative support to the department and faculty of the Department of Pharmacology and Pharmaceutical Sciences (PPSI). The Administrative Assistant I will perform administrative duties which will include dossier preparation, instruction support, scheduling and coordinating seminars, meetings and events for faculty and the department.

The Administrative Assistant I will coordinate the production of department newsletter, support dossier preparation, monitor sub-budgets, maintain calendars, coordinate with vendors for services, prepare agendas, gather and organize supporting information, record, summarize and distribute minutes, make travel arrangements, process reimbursements, order refreshments, and provide other general office support. In addition, the Administrative Assistant II will support the department and faculty's research and teaching activities which include, editing and updating biosketches, bios, photos, C.V., conference registration and travel arrangements, process reimbursements, track and monitor faculty expenditures, photocopying course materials and exams. Will also provide support for PSCI / MPTX courses, reserve classrooms, update blackboard, send student emails, distribute materials and assist with organizing student events.

Must have the ability to communicate accurately, clearly and with a high standard of excellence both orally and in writing. Must conduct self in highly personable and professional manner, possess the ability to think on his/her feet, prioritize workload appropriately, have a customer service orientation and positive/can do approach to work.

Microsoft Office (Word, Excel and PowerPoint), experience required.

Knowledge of Outlook, Doodle Poll, Kuali and Microsoft Publisher is a plus.

Minimum Education: Associate's degree, Combined experience/education as substitute for minimum education

Minimum Experience: 2 years

Minimum Field of Expertise: Secretarial or specialized clerical, including some administrative experience.

Open, scan, log and correlate incoming mail and distribute to appropriate staff. Gather and attach data, related files, etc., and ensure a timely response to pertinent staff member. Keep principals informed of due dates. Directly handle routine literate inquiries, match all incoming P.O.'s with either existing in house orders or quotations if new orders. 2. Provide a wide variety of complex typed materials such as technical reports, quote letters, and sales orders. Prepare and maintain logs for quotes, spare part sales orders, revisions, in support of field sales and service. Responsible for proofreading, editing and error correction of final materials. 3. Schedule and maintain calendar on a non-conflict bases and keep principal or staff advised. Arrange meetings and travel arrangements maintaining proper contacts with travel offices. Answer/place telephone calls taking accurate messages. 4. Assist where applicable, in the follow-up of necessary documents and parts for orders, quotation requests, and application lab evaluations, maintaining open order/closed files and miscellaneous correspondence files. 5. Provide support and maintain Employee Attendance, review time cards and record vacation, personal and lost time due to illness on a weekly basis, as well as distribute weekly and semi-monthly paychecks. 6. Provide the following administrative duties in support of the function: a. Update department bulletin boards. b. Responsible for the ordering of office supplies and business forms, requiring the preparation of purchase requisitions and supply order forms. 7. Provide key operator duties for copier and fax machines. 8. Responsible for a wide variety of office systems media to compute, compile or record necessary data in preparation of a wide variety of reports. 9. Accept and enter applications into the applicatons laboratory database. Upon completion of application analysis assist with production of quote. 10. Perform other adminstrative and secretarial duties as assigned by Supervisor. Requirements Education: High School Diploma or equivalent GED with approximately 3 to 5 years of related secretarial experience. Additional secretarial training helpful. (Secretarial School graduate preferred). Specialized Skills: Data Entry and experience with Microsoft Word for Windows, Excel, powerpoint, Network Schedule, Faxpress, Harvard Graphics, HP Laser Jet 4 and other standard office equipment. Prior experience in a Sales/Marketing office environment helpful. General Skills: Minimum of 3 years experience. good typing and math aptitude required with a high degree of accuracy.
