Primary purpose:

Provide support and administrative duties primarily to an assigned region and one or more regional district field office(s).

Essential duties and responsibilities:

  • Provide standard reception, clerical and other support duties in the office to include routine personal, phone and e-mail correspondence with internal and external contacts.

  • Operate standard office equipment.

  • Prepare, submit and track bills for payment.

  • Assist in preparation, monitoring and reporting of expense and capital budget, monthly variance explanation and forecasting.

  • Perform time reporting responsibilities on a by-weekly basis, including employee reporting reminders, payroll system data entry and labor analyses. Track overtime for field hourly personnel.

  • Complete data entry for the employee expense report system.

  • Complete routine mail and material shipping responsibilities, sometimes hazardous, as required.

  • Prepare routine office, regional and company-wide correspondence.

  • Order and maintain office supplies and materials.

  • Assist with regional measurement reporting requirements including L&U tracking and reporting.

  • Prepare and maintain service agreements and contracts. Assist in negotiations with the Procurement Department as needed.

  • Track vehicle mileage and other fleet responsibilities.

  • Track all credit card statements and maintain local file. Ensure all reconciliations are completed on a timely basis.

  • Track regulatory and compliance requirements and make notifications to ensure timely completion of required tasks.

  • Assist with development of changes to O&Ms, I&Ms and design and construction standards for submittal to the standards committee.

  • Deal with a wide variety of people with tact, courtesy and professionalism.

  • Speak clearly, both in person and by telephone, using a high level of verbal skills and listen carefully.

  • Maintain a regular, dependable attendance and a consistently high level of performance.

  • Will work non-traditional hours as needed.

  • Maintain a high regard for personal safety, for the safety of company assets and employees, and the general public.

  • Other daily, weekly, monthly or special project duties as identified and defined.

  • Other duties as assigned.


Minimum requirements:


  • High School diploma or equivalent

Experience/Specific Knowledge:

  • A minimum of three (3) years office support experience.

  • Proficiency in software applications utilized by the Company such as GP Dynamics, Enablon databases, etc.

  • Good basic math skills (addition, subtraction, multiplication, division, decimals, fractions, etc.).

  • Advanced office equipment skills (phone, fax, files and organizational skills, etc.).

  • Knowledge of natural gas terminology.

  • Process oriented and able to maintain multiple tasks.

  • Knowledge of FERC Standards of Conduct (Order 497).

  • Intermediate proficiency level in MS Office applications that may include but are not limited to Excel, Word, Access, PowerPoint and Outlook.

Certifications, Licenses & Registrations:

  • Must possess and maintain a valid driver's license and a driving record satisfactory to the company and its insurers (for travel).

  • Must be able to perform all essential and marginal functions of the job.

  • Must be able to work with a team, take direction from management, adhere to required work schedules, focus attention on details, and follow work rules.

  • Ability to successfully perform multiple tasks with strict deadlines.

  • The successful candidate will be required to clear a drug screen and a complete background check, including credit report for certain positions, after an offer has been extended and prior to being employed.

  • Bachelor's degree from an accredited institution in Business or a related discipline.

The position is responsible for supervising staff and the delivery of rehabilitation counseling and evaluation services for clients with disabilities in the region. The primary focus is to achieve the goal of gainful client employment. This is a position with substantial responsibility for using independent judgment, supervising staff, and overseeing collaborative employee and client relations. Duties and Tasks: * Provide case consultation expertise and oversight to professional vocational rehabilitation staff providing counseling and supported employment. * Regional program and operational planning and administration for one region and its clients, ensuring the quality, quantity and compliance of services with federal policy and requirements, the organizational strategic plan, policies and procedures, and state advisory council priorities. * Development of extensive partnership and collaborative activities with local and regional public and private providers, tribal entities, employers and community organizations are part of the role of this job class, as is resolution of problems and issues with the same. * Lead in the development of partnerships with regional and local business to develop strategies to meet local business needs for employees and enhance the potential of VR clients to gain competitive employment. * Supervise staff and ensure staff are meeting program outcome measures. * Analyze unit performance to identify strengths and weaknesses. Recommend and implement changes to improve the delivery of consumer services. * Prepare and provide performance and/or fiscal reports to the vocational rehabilitation division's management team including budget development and reconciliation. * Develop and sustain positive relationships with community based provider agencies and programs. * Develop strategies and practices to recognize, encourage, and sustain positive staff performance. Complete staff evaluation(s) and develop staff specific performance improvement plans as appropriate. * Manage a general caseload providing client services including: information, referral and intake, vocational assessment, counseling and guidance including using motivational interviewing with clients; develop Individualized Plans for Employment; job development and job seeking skills training; job placement and follow-up; and complete the appropriate paperwork. Minimum Qualifications Requires a Master's Degree in Rehabilitation Counseling, Counseling, Social Work, Psychology, Rehabilitation Administration/Services, Psychometrics, Behavioral Health, Behavioral Science, Disability Studies, Human Relations, Human Services, Marriage and Family Therapy, Occupational Therapy, Special Education or Vocational Assessment/Evaluation AND three years professional experience working with individuals with disabilities that involved lead work or supervisory experience. This position also requires Certification as a Rehabilitation Counselor (CRC) by the Commission on Rehabilitation Counselor Certification (CRCC). If no qualified applicants are found, we will consider filling with applicants who can obtain their CRC within one (1) year. Must have at least one year of Vocational Rehabilitation experience if filling at this level.
