ESSENTIAL DUTIES AND RESPONSIBILITIES

Other duties may be assigned depending upon operational needs:

  • Maintain a clean, safe and organized office environment

  • Welcome guests and customers by cheerfully greeting them, in person or on the telephone, answering or directing inquiries.

  • Participate on safety committee

  • Manage daily office operations, including ordering and maintaining office supplies and other general supplies needed in the plant; distributing & processing incoming and outgoing mail.

  • Provide administrative support to staff and guests, including scheduling meetings, preparing reports, assisting with travel arrangements and handling correspondence

  • Maintain and organize office records, files and ERP data

  • Prepare and distribute internal communications, memos and announcements

  • Prepare and submit POs for non MRP generated requests and provide follow up through the process until receipt

  • Assist with purchases for non MRP generated requests using the company purchase card

  • Reconcile purchase card statements and expense reports on a monthly basis

  • Serve as point of contact for internal and external communication

  • Manage day to day activities of service vendors which can include: cleaning crew, uniform service and safety supplies

  • Manage logistics for company functions which can include lunches, social gatherings, facility tours and other company sponsored events

  • Maintain knowledge of industry regulations and ensure office operations adhere to relevant standards

  • Monitor administrative needs of all department management and provide support as needed

QUALIFICATIONS

  • Requires developed office skills, computer experience and competence in using current office software.

  • Strong knowledge of Microsoft Office applications required, with intermediate skills in Excel strongly preferred.

  • Previous experience working in an ERP system, SAP and Oracle preferred

  • Must be detail oriented with the ability to think clearly and multitask in a fast-paced environment

  • Interpersonal communications skills, ability to organize and prioritize assignments to meet deadlines required.

  • Must be adaptable and flexible in dealing with a variety of priorities and people.

  • Stability and personal maturity are important attributes in this position.

  • Must maintain confidentiality of information.

EDUCATION and/or EXPERIENCE

Associated degree in an Administrative Field or 5 years' experience in a similar position

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

Ability to be CPR/First Aid certified required.
