King County Metro is seeking an Administrator II who is interested in creating and improving administrative support processes and procedures, support two sections, and oversee administrative functions in Metro Transit's Vehicle Maintenance Division. This division is responsible for managing all bus and non-revenue vehicle rolling stock assets. One critical responsibility of the Vehicle Maintenance Division is to ensure timely preventative maintenance activities and to ensure our service stays in safe and excellent condition.

This position is part of a high-performance team that performs a broad and varied range of administrative services such as personnel, budget, problem solving, program development and management of administration functions

In this position, you will provide essential administrative support to the Vehicle Maintenance Division by keeping our leadership team prepared, on time with deliverables, and well-informed. You will also be relied upon to provide complex and confidential administrative support to the Section Managers and other division leaders to carry out strategic goals and initiatives. Additional duties will include leading the administrative support teams at the functional work locations. The incumbent will utilize technology skills, have experience with modern office programs, and can navigate the Office 365 suite, which will be used daily in this position.

The ideal candidate will have experience in a maintenance environment and have advanced knowledge of management systems, as well as continuous improvement concepts, will have a strategic approach to organizing and managing details, deliverables, and deadlines for management including their calendars and agendas. They will also possess professional writing skills that demonstrate the ability to draft, proofread, edit, and summarize information that may be sensitive or technical in nature. The dual reporting structure of this position requires incumbents to be adaptable, flexible, and demonstrate persistence and initiative when learning to support two Section Managers who oversee intersecting and complex areas of Vehicle Maintenance: Fleet Services and Maintenance Operations.

About the Vehicle Maintenance Division:

Metro Transit's Vehicle Maintenance Division takes pride in meeting our customers' expectations for safe, dependable, clean, and environmentally sound vehicles. Maintenance of Metro's bus fleet takes place at seven bus bases and at our central Component Supply Center where specialized work is done. The majority of Metro's buses are hybrids, followed by diesel, electric trolleys, and several battery-electric buses. Metro has long been an innovator in green vehicle technology and plans to transition to battery-electric buses as we move toward our goal of a zero-emission fleet. Position info: This recruitment will be used to fill ONE (1) Career Service Administrator II vacancy. This recruitment may also be used to establish an eligibility pool to fill future career service, short-term temporary, term-limited temporary, and/or special duty assignment opportunities in this group and classification that may occur over the next twelve months from the establishment of the list, at the discretion of the hiring authority.

Job Duties

In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work. As the Administrator II you will:

  • Maintain a dynamic and at times demanding schedule for the Vehicle Maintenance Section Managers and staff the position supports: prepare meeting plans and materials, review and route correspondence and memos, retain records, support payroll and expense processing, resolve procurement/purchasing issues as needed, and complete special projects as assigned.

  • Support leaders to plan and execute their vision, goals, and objectives.

  • Develop and coordinate programs or projects.

  • Participate in strategic planning efforts and help develop and/or revise policies and procedures.

  • Analyze data and compile research for projects and as assigned and prepare summary reports.

  • Facilitate the onboarding and training of Division administrative functions, including creating training materials and onboarding protocol, and ensure that assigned administrative tasks are complete.

  • Interpret and provide information on current administrative policies and procedures.

  • Assist in developing routine contract specifications, including scope of work.

  • Assist in Travel authorization documentation, approval processes and knowledge of the "Concur" software.

  • Coordinate and communicate across several lines of business in Vehicle Maintenance, as well as internal to King County and external partners.

  • Develop and manage projects of limited scope within Division.

  • Prepare presentation materials and documents for internal use.

  • Provide lead direction to Operational Base Transit Administrate Assistants. Ensure staff follow division processes and standards, provide feedback when additional support and training is required.

  • Frequently disseminate and relay instructions from Section Managers to other staff and ensure follow-through of those instructions.

  • Provide technical expertise to other internal staff on a limited basis.

  • Develop, implement and evaluate methods for monitoring existing and new administrative systems to support work activities at the unit, section, division and/or department levels.

  • Represent the work unit, division or department on internal and external committees or task forces.

  • Perform other duties as assigned.

Experience, Qualifications, Knowledge, Skills

We are looking for candidates who:

  • Strong background in senior-level administrative support and are able to use good judgment in making independent decisions with a high degree of tact and diplomacy; OR an equivalent background of education and experience.

  • Proven ability to provide excellent customer service that is sensitive to, and reflective of, Metro's commitments to equity, social justice, inclusion, and belonging.

  • Good judgment and the ability to seek direction and make independent decisions in alignment with division priorities.

  • A proactive mindset with the ability to handle a high volume of assignments and competing priorities, take initiative, and elevate issues to division leadership for resolution.

  • Are knowledgeable about how large organizations work, including how to get things done through formal and informal channels;

  • Comfort navigating uncertainty and ability to adapt in a dynamic environment.

  • Experience and/or familiarity with King County purchasing processes and procedures (PO's, P-Cards, invoice processing, etc). General knowledge of basic industry standard accounting and finance principles are a plus.

  • Experience managing highly confidential and sensitive issues effectively and with integrity.

  • Excellent organizational skills; attention to detail without losing sight of the big picture.

  • Experience building relationships across organizational units with an ability to be an open, collaborative, and trusted teammate.

  • Have experience and intermediate-level skills in Microsoft Word, Excel, PowerPoint, Teams, Sharepoint, Planner, Neogov, PeopleSoft and other productivity tools;

  • Have any equivalent combination of experience and education necessary to perform the job duties.

  • Experience using BI Launchpad, BI insight, Oracle EBS, and M5 reporting are desirable
