About the Role / Position Summary
The Office Services Administrator is accountable for managing the administrative needs for a group of advisor teams and other dedicated departments. The position requires reliability and the ability to communicate effectively with advisors and analysts as well as the ability to prioritize tasks.
What You'll Do
Content Review, Preparation, and Printing
Preparation and final oversight of accurate and timely client (internal and external) deliverables (creation, printing and delivering) for all departments
Conduct thorough checks for grammar, spelling, punctuation, and factual accuracy
Work closely with content creators, editors, and other stakeholders to ensure high-quality deliverables
Maintain and update records of reviewed content and actions taken
Assists departments with administrative tasks and ad hoc projects
Support off-site FEG or Client events
Office Administration
Coordinate catered meetings and client office visits
Ensure office is clean, organized and well-maintained
Manage inventory and keep kitchen areas and conference rooms stocked with drinks and supplies
Communicate to Office Service Manager/vendor any maintenance or repair needed for office equipment
Ability to regularly lift up to 50lbs is required for handling supplies and equipment
Assist with Reception desk responsibilities as needed
Support needs for regional offices as requested

What We Expect / Qualifications
High School Diploma or equivalent
1-3 years of work experience in the investment services industry or a similar professional services business, preferably financial related
Ability to identify and resolve/escalate complications or issues with minimal guidance
Experienced in Microsoft Word, Excel, PowerPoint, Outlook, Teams, Zoom and Adobe Acrobat with strong attention to detail, excellent written and verbal communication skills and high work ethic
Experience working with office equipment (phone systems, fax, copiers, scanners, printers)
Ability to lift 25 - 50 lbs regularly as part of daily job duties
