Pay Range

$87,450.00 - $108,564.00 Annually for the A01.2 level

$104,910.00 - $130,236.00 Annually for the A01.3 level

Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.

Job Description

We have an opening for an Administrator to work in a dynamic and fast-paced environment in the Deputy Director for Science and Technology (DDST) Office. You will work independently to plan, execute, and provide oversight to a variety of operational and organizational requirements and activities. You will have a significant role in managing the DDST Awards Workbench as well as oversight and execution of the Director's Institutional Awards Program processes. You will coordinate external award nominations and proposal calls. You will manage visits and lecturers, including the DDST Colloquium and Director's Distinguished Lecturer Series. You will execute business, operational, and organizational processes and interface with senior-level internal and external personnel.

You will

  • Lead the administrative processes for the Director's Institutional Awards Program and adherence to applicable policies and procedures and partner with the Livermore IT team to update the Awards Workbench.

  • Initiate and compose original and sensitive correspondence, memoranda, templates, reports and agendas on behalf of DDST.

  • Lead the administrative process for the Institutional Early Mid-Career Program as well as the Distinguished Member of Technical Staff.

  • Lead the coordination and execution of the speaker programs and other visitors, including all aspects of the visitor experience from invite through day-of event activities. You will partner with the Protocol Office in the support of the Director's Distinguished Lecturer Series and Award celebration events.

  • Coordinate various high-level external award and proposal processes for the Laboratory including the final Director's Office approval stages.

  • Collect, validate, interpret, and analyze business, operational and/or organizational planning data in support of strategic activities.

  • Prepare a variety of documents and reporting, most of which contain sensitive or privileged information, for management decision making.

  • Review a variety of documentation for adherence to policy, ensure consistency in collaboration with others in the DDST Office.

  • Analyze and interpret institutional and organizational policies and procedures. Serve as a resource on DDST processes and programs.

  • Perform other duties as assigned.

Additional job responsibilities, at the A01.3 level

  • Partner with senior management, independently manage and oversee the awards program for the institution, establishing protocols and procedures to manage the completion of the annual cycle.

  • Serve as an advisor. Assess adherence to policies and procedures, ensure consistency, develop complex strategies and implement corrective actions. Provide summaries for management review, make recommendations, and escalate issues to management.

  • Independently prepare responses and deliverables on behalf of the DDST Staff.

  • Assess and implement business and organizational strategies and provide input on institutional processes.

Qualifications

Qualifications

  • Active U.S. DOE Q-level security clearance which requires U.S. citizenship, at time of hire.

  • Advanced knowledge and experience with personal computers and associated software including Microsoft Teams, Microsoft Word, Excel, and PowerPoint. Knowledge of collaborative software platforms such as MS Teams, OneDrive and SharePoint, with the ability to set up, manage and administer collaborative groups using such platforms.

  • Operational knowledge of industry practices with experience applying analytical and research skills.

  • Experience participating in and leading business, operational, or organizational activities.

  • Administrative and organizational skills, detail-oriented, flexibility and experience independently coordinating and prioritizing multiple and complex work activities, often with conflicting deadlines. Demonstrated ability to work effectively with short deadlines and frequent interruptions as well as anticipate, identify, and resolve complex issues effectively.

  • Advanced verbal, written, and interpersonal communication skills necessary to handle sensitive and confidential issues with tact, discretion, and mature judgment, and interact effectively with a diverse group of personalities and disciplines as well as represent managers with all levels of management, both internal and external to the Laboratory.

  • Desire to lead administrative projects; demonstrated analytical, research, problem-solving, and decision-making skills necessary to independently identify and recommend appropriate actions and solutions to administrative issues.

  • Experience researching, interpreting, and applying related policies and procedures.

Additional qualifications at the A01.3 level

  • Associate of Arts Degree (AA) in a related field or equivalent combination of significant experience and education in a related business, operational and/or organizational area.

  • Broad operational knowledge of business/operations, organizational, and industry practices with experience applying analytical and research skills; experience resolving complex administrative issues.

  • Experience coordinating and leading administrative projects; demonstrated analytical, research, problem-solving, and decision-making skills necessary to independently identify and recommend appropriate actions and solutions to administrative issues.

  • Experience participating and leading business, operational and organizational activities and participating in a variety of organizational projects and project coordination. Experience researching, interpreting, and applying a wide variety of policies and procedures and ability to influence and build consensus for change management.

  • Leadership experience.
