The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Administrator will be joining the Olo Be Taloha Lab, a lab focused on archaeology, paleoclimatology, human adaptation to climate and environmental change, and the co-production of knowledge. The Olo Be Taloha Lab is part of the Columbia Climate School, whose mission is to develop and inspire knowledge-based solutions and educate future leaders for just and prosperous societies on a healthy planet. The lab is housed at the Lamont Doherty Earth Observatory, which is renowned for its research in the Earth sciences.

The Administrator will assist an Associate Professor of Climate who leads an innovative research lab and international field project. This role presents a unique opportunity to contribute to a pioneering research program that integrates archaeology, anthropology, and climate science. The position includes managing administrative tasks and playing a vital role in a dynamic academic community. Additionally, the Administrator will become a key partner in launching a new Climate Field School Program focused on interdisciplinary training for both undergraduate and graduate students. This individual will be instrumental in ensuring the operational efficiency of the Olo Be Taloha (OBT) Lab and supporting the professor's academic and research endeavors. This full-time position is based at the Columbia University Lamont Doherty Earth Observatory in Palisades, New York, and the Columbia University Morningside and Manhattanville campuses in Manhattan, New York.

Responsibilities

Administrative Support:

  • Efficiently manage the professor's email inbox and calendar, ensuring timely responses and optimal scheduling of appointments, meetings, and events.

  • Coordinate and schedule internal and external meetings, ensuring all necessary preparations and follow-ups are handled.

  • Prepare briefing materials, meeting agendas, minutes, reports, and presentations for meetings

  • Provide support for travel, including travel bookings

  • Provide finance support, including expense reporting (primarily via Concur), reimbursements, and financial transactions in compliance with university policies.

  • Manage procurement of field and lab supplies, equipment, and services, ensuring timely delivery and budget adherence.

Events Planning and Scheduling:

  • Coordinate and plan lab events, conferences, and seminars.

  • Develop detailed event plans, including timelines, budgets, and task assignments.

  • Handle logistics such as venue booking, catering, travel arrangements, and guest accommodations.

  • Ensure seamless execution of events, from setup to breakdown, including technical support and attendee coordination.

Networking and Communication:

  • Foster and maintain professional relationships with collaborators, industry professionals, and stakeholders. Facilitate effective communication and coordination among team members.

  • Organize and participate in networking events, conferences, and meetings to build and maintain relationships.

  • Serve as a point of contact for external partners and stakeholders, ensuring clear and consistent communication.

  • Coordinate collaboration efforts, including joint research projects and grant proposals.

Media Requests and Outreach:

  • Handle requests for media appearances, speaking engagements, and outreach events. Liaise with media outlets and coordinate the dissemination of papers, talks, and other research outputs.

  • Manage incoming media inquiries, prepare press releases, and coordinate interviews.

  • Develop and maintain relationships with journalists, bloggers, and other media professionals.

  • Oversee the distribution of research findings and publications to relevant media channels and stakeholders.

Website Maintenance:

  • Ensure the lab's website is up-to-date, managing content, and providing outreach and dissemination of research findings. Collaborate with the communications team to maintain an engaging online presence.

  • Regularly update website content, including news, events, publications, and project updates.

  • Optimize website for usability, accessibility, and search engine performance.

  • Work with web developers and designers to implement new features and improvements as needed.

Social Media:

  • Develop and implement a strategic social media plan to enhance the lab's online presence, engaging with the academic community, industry partners, and the public.

  • Create, schedule, and publish engaging content across various social media platforms (TikTok, LinkedIn, Facebook, Instagram).

  • Monitor and analyze social media metrics to measure the effectiveness of campaigns and adjust strategies as needed.

  • Engage with followers, respond to inquiries, and promote lab events and publications.

Other duties and projects as assigned.

Minimum Qualifications

  • Bachelor's degree in a social or environmental science field and experience with interdisciplinary research is required.

  • Self-driven and excels at working both independently and as part of a collaborative group.

  • Must have strong communication, time management, and organizational skills.

Preferred Qualifications

  • Prior administrative experience is a plus.
