Roles &Responsibilities:

This position assists inthe coordination of administrative and office service activities such aspurchasing, payroll, records control and human resources for the head of adepartment, care center or division. Typically reports to a division head, vicepresident or higher-level executive.

  • Answers routine and specific inquiries when possible. Directs inquiries, when necessary, to the appropriate department or individual for further information and/or resolution.

  • Assists in maintaining and monitoring the budget and grant allocations. Prepares documents required to maintain balanced accounts for review and approval.

  • Initiates and follows through on human resources and payroll transactions. Generates weekly payroll submission. Maintains liaison with human resources and payroll to coordinate and resolve issues and problems.

  • Ensures adequate restock of supplies for department. Takes inventory or examines merchandise to identify items to be reordered or replenished. Requisitions merchandise from supplier and collaborates with Purchasing to secure the best pricing for equipment and supplies.

  • Tracks expiration of vendors' contracts and renews as needed.

Requirements:

  • Education: Bachelor's degree or equivalent combination of experience and education. i.e. HS/GED diploma plus seven years of experience.

  • Experience: 5 years related administrative or business experience required. Some supervisory experience preferred.

As Administrative/Fellowship Coordinator, you will provide support to the Division of Gastroenterology in the Department of Medicine, and coordinate all aspects of the division, including the Endoscopy Unit and the fellowship training program. In collaboration with the GI Program Director, Division Chief, DIO and the Chairman of Medicine, you will work towards the strategic goals of the GI Fellowship Program by developing, implementing, and monitoring select administrative operations for the GI Fellowship Program. The Administrative/Fellowship Coordinator will assist with the coordination of numerous process improvement initiatives in the primary care and multi-specialty business units. The Administrative/Fellowship Coordinator will ensure service excellence is provided to patients, customers and the outside referral community.
