Maintains a variety of confidential office files and records, compiles data, completes legal forms, timekeeping and/or payroll, and types reports and letters. Approves overtime and leave requests in Human Resources Information System (HRIS) for payroll purposes, as well as generates personnel action forms and new employee requisitions.

Prepares maintenance requests and payroll including shift differential, overtime, Family Medical Leave Act (FMLA) and Workers Compensation. Prepares purchase requisitions using Advantage Financial System. Audits invoices and tracks payments.

Coordinates with Human Resources for employees and prepares related documents. Prepares FedEx billing forms and package items being returned to customers. Assembles data for the preparation of the Department budget.

Performs extensive data entry; schedules appointments and maintains calendar. Coordinates monthly manager meetings and transcribes meeting minutes; acts as Records Storage Coordinator. Assists the Lost and Found Office as needed.

Advises the general public, County employees, employees from other governmental agencies and/or organizations of Departmental policies and procedures. Resolves difficult customer relation problems that cannot be handled by supporting administrative staff. Answers emails and responds to voicemails in regards to lost and found items.

QUALIFICATIONS:

Graduation from high school or an equivalent recognized certification; minimum of two (2) years of responsible office experience, which includes six (6) months reviewing, overseeing, and leading the work of others.

PREFERENCE FOR ONE (1) YEAR OF EXPERIENCE: Providing customer service in person and over the telephone (must specify on application); processing payroll using an automated payroll system (must specify system used on application); processing shift differential, overtime pay, FMLA and/or Workers Compensation payroll (must specify on application); using MS Word/Excel/Outlook.

Valid Florida Driver's License and PBC Risk Management Department driving history approval prior to appointment. Requires successful completion of DHS Criminal History records check and Security Threat Assessment prior to appointment and the ability to maintain these clearances as a condition of employment.
