Your Role

  • Oversee the preparation and routing of contracts, service agreements, and memorandums of understanding with vendors, partners, sponsors, and donors for facility usage, contracted manpower, goods and services and program contributions, ensuring purchasing policies and requirements are followed.

Assist in budgetary processes by processing invoices timely, completing monthly Pro Cards purchases, completing Budget Adjustment Requests; generating reports from Oracle and disseminating them to appropriate team members to assist with monthly and quarterly budget reconciliation reporting; gathering feedback from the cost recovery evaluation tool, citizen surveys, and expenditure reports to assist with annual budget recommendations; reviewing and editing calculations on annual budget proposals as needed.

Responsible for tracking compliance with mandated city or departmental trainings including, but not limited to Blood Borne Pathogens, FA/CPR/AED/ Stop the Bleed, Mandated or Non-Mandated Reporter and Defensive Driving.

Data entry and reporting including but not limited to gathering and imputing data monthly, quarterly comparative analysis to monitor youth violence and contributing factors, monthly participation levels of youth within corresponding geographic areas in preventative and proactive peacekeeping activities; monitoring the number of violent incidents by type within the designated age group monthly; compiling weekly survey results.

Compile weekly survey results and other data based on chosen categories and measurements, and create monthly, quarterly, and annual reports highlighting comparisons and emerging trends; May be asked to present findings to relevant stakeholders.

Utilize various microcomputer applications for data collection, report generation (i.e., spreadsheets, databases, word processing and City and Department specific software).

Initiate and prepare verbal and written responses to correspondence and inquiries from the public in a timely manner; provide customer service and act as an interface with other agencies, the public and various civic groups.

Order equipment/supplies and oversee the inventory process to ensure that programs have appropriate and adequate equipment and supplies.

Schedule, coordinate and prepare for meetings; take meeting minutes.

Establish and maintain an organized, accurate and updated resource database and cross-referenced filling system.

May supervise Summer Youth Employment Program participants, interns, part-time staff, and volunteers.

Provide on-site event support during Unit events such as - Parks After Dark (June-August), related to tracking, registering, and assisting participants. Additional Individual Community support requirements will be determined by supervisor based on need.

Perform other job duties requiring skills, knowledge and physical requirements as demanded by those duties described or less. Individual assignments will be determined by the supervisor based on the current workloads and department needs.
