STARTING PAY = $14.26 per hour
SUMMARY
This position is primarily responsible for direct supervision of Administrative Assistant I and II all personnel dockets, timely preparation and tracking of performance appraisals, tracking of driving license status, verification and accurate payment of departmental expenses and other administrative duties as needed.
ESSENTIAL RESPONSIBILITIES
Directly supervises the training of the Administrative Assistant I and II, ensuring each has a thorough understanding of their daily job functions.
Assist in ongoing cross training program between Administrative Assistant I, II, and Administrative Technician.
Processes invoices for payment through J.D. Edwards, and scans invoices into system using Hummingbird, tying the scanned invoice to the payment voucher.
Performs a wide variety of functions on the personal computer (charts, forms, correspondence, etc.)
Maintains departmental personnel records and prepares personnel dockets and related forms upon hiring, promotion, temporary assignment, resignation or termination of employees.
Maintains complete record of all annual material contracts usage, available funds, payment, etc.; ensures records are updated frequently and are easily accessible.
Contacts various vendors for bids on departmental purchase of material or supplies as well as conduct comparisons and negotiate prices when needed.
Prepares and pays all requisitions, payment vouchers, miscellaneous invoices, etc.
Uses credit card to make departmental purchases when possible; verifies and processes charges weekly in WORKS for cards held by all department employees.
Enters and tracks Performance Appraisals for all permanent employees.
Communicates with public daily using multiline phone system and two-way radio and.
Prepares yearly chemical inventory and enters data into computer for annual report.
Maintains and updates all departmental SDS records (3 sets), insuring products are issued appropriate SDS numbers, labeled properly and records are audit ready at all times. SDS sheets are to be updated when products are received and/or not less than once a year.
Assists Street Program Coordinator/Department Head in gathering information required for budget preparation.
Enters and updates service requests and/or utility cut permits when needed.
Performs other job-related duties as assigned.
MINIMUM REQUIREMENTS
Requires a High School Diploma or its equivalent and three years of office and bookkeeping experience. Previous public telephone contact and use of two-way radio preferred. College level coursework and supervisory experience preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
Thorough understanding of general office and filing procedures,
Ability to type 25 to 30 wpm, use 10-key calculator, and be precise with numbers.
Ability to exercise professional telephone etiquette and take accurate messages.
Ability to write legibly.
Knowledge of standard bookkeeping and accounting principles.
Ability to operate standard office equipment including a calculator, ten-key, copier, and multi-line telephone system.
Ability to use or learn to use several data entry programs such as JD Edwards, Kronos, Works, Hanson, Hummingbird, Data Ease, Access and the internet.
Proficient in the use of a computer for data entry, word processing and accounting purposes.
Ability to perform multiple tasks accurately and efficiently on a consistent basis.
Ability to handle stress due to heavy telephone and radio interruptions, irrate public calls, and emergency situations.
