SUMMARY
Under the general supervision of the City Marshal Administrative Specialist III, this position is responsible to perform routine clerical duties related to the operation of the City Marshal. Work is performed within established department guidelines and policies but requires independent judgment and initiative. Employee must possess the ability to prioritize and schedule work, and the ability to work independently with minimal supervision.
ESSENTIAL RESPONSIBILITIES
Greets the public and determines their needs, assisting when possible.
Answering the telephone and departmental emails and directing them to the proper person or taking the appropriate action.
Answering inquires and requests from internal and external stakeholders to the greatest extent possible.
Performs routine clerical duties such as filing, printing, mailing permits, cash reports, distributing mail, etc.
Performs basic data entry for all programmatic areas within the department.
Conducts inspection scheduling for various City Marshal programs.
Ability to generate basic departmental reports to include, but not limited to, permit lists, and printing/mailing various notices, etc.
Ability to process travel requests and expense reports for departmental personnel.
Maintains office supplies including restocking.
Performs other duties as assigned.
MINIMUM REQUIREMENTS
High school diploma or equivalent and two years of administrative experience. Must be able to type at a rate of 35 words per minute is preferred. Ability to complete clerical work involving a degree of independent judgement and requiring attention to accuracy.
KNOWLEDGE, SKILLS, AND ABILITIES
Ability to operate computers for data entry and word processing.
Ability to operate highly technical computer applications
Strong verbal and written communication skill.
Ability to operate small office equipment, including copy machines or multi-line telephone systems.
