In this role you will work 32 hrs/wk (4 8-hour days) in the BPA Olympia District. Time is split between Olympia, WA and Chehalis, WA. This position carries out recurring office procedures independently, and selects the guidelines or reference that fits the specific case. The BPA manager may provide instructions on new assignments and/or check completed work for accuracy.

This position is located in a small, close-knit office environment. Successful candidates will be well-organized, have a strong attention to detail, can multi-task well and must possess strong people skills.

Mandatory Qualifications (Education, Certifications, Experience, Skills)

  • High school diploma or equivalent.

  • 3+ years of related administrative/customer service experience or equivalent combination.

  • Well qualified typist, skill in using Microsoft Office Suite of products, and skill in operating common office equipment.

  • 2 or more years of relevant work experience in administrative support functions

Desired Qualifications (Education, Certifications, Experience, Skills)

Working knowledge of SharePoint is desired.

What our Administrative Assistant for Regulatory Board does: * Provide administrative support to the programs in the Regulatory Boards Section, within the Business and Professions Division, which is responsible for licensing 6 regulatory boards (Architects, Landscape Architects, Geologists, Professional Engineers & Land Surveyors, Funeral & Cemetery, and Collection Agencies) by processing incoming mail, making meeting and travel arrangements, maintaining daily schedules and electronic calendars, and completing assignments. * Coordinate and schedule meetings, making facility arrangements, preparing meeting materials, and attending meetings to assist with electronic presentations and take meeting minutes. * Organize and process board member meeting logistics including pay,travel, travel reimbursements in the Travel Expense Management System (TEMS), provide board training, prepare meeting material before and after board meetings. * Compile and prepare travel and purchase documentation for monthly credit card reconciliation, ensuring compliance with purchasing rules. * Attend as backup court clerk for the section coordinating and scheduling pre-hearing/settlement conferences and organizing materials and taking notes during the conference between department staff, respondents, respondent attorneys, and Attorney General. * Follow office procedures, standards, priorities, deadlines and maintain electronic and paper filing tracking systems and archive documents and files. * Create and maintain records retention schedule and identify timeframes for office storage, archival retention and destruction. * Coordinate with the public disclosure unit to prepare, and public record requests and maintain records for public disclosure requests. * Provide support to other units within the section and represent Regulatory Boards Section on special committees and projects as necessary. * Submit requests via the SharePoint Facilities Request Form, ID Badge Access Form and other methods according to agency policies and procedures, to grant, change, or terminate access to DOL systems/data and buildings. * Research, compile and analyze pertinent information using a variety of agency resources to assist supervisors with determining employee access and workstation needs. * Coordinate with helpdesk, facilities, telecommunications, and other agency support personnel to assure employee access and workstation set up requests are completed accurately and timely. Required Qualifications: Applicants who possess the following qualifications may be referred to the hiring manager: * High school diploma or GED * Three years of increasingly responsible experience independently performing complex clerical, secretarial and/or administrative assignments, supporting a supervisor or work unit, including scheduling and planning meetings using electronic calendars, managing and tracking assignments, ordering supplies, reception, file maintenance and acting as a delegated by authority. * One year experience with Microsoft Office software to create, format, and edit documents; create, modify, work with basic formulas and functions and print spreadsheets. * One year experience with processing payments for invoices, vouchers, purchases, facility and equipment rentals, and special purchases. * Six month of experience with evaluating and responding to public disclosure requests Preferred Qualifications: Applicants who also possess the following may receive additional consideration by the hiring manager: * An Associate's Degree or higher. * Experience interpreting laws, rules, and regulations. * Experience working with legal staff, following administrative procedures and/or acting as clerk of the court Working Conditions: * Ability to work beyond 40 hours as required * Ability to travel local or statewide including overnight travel using a state or personal vehicle. * Work in an office setting.
