SUMMARY

Responsible for providing administrative support to assist producers and service team in supporting client and proposed client accounts.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Set-up prospect and customer files; set-up and process dead files; conduct miscellaneous filing;

  • Answers telephone and routes calls to others; operates fax machines, scanners, printers and copiers;

  • Assists service team with assembly of marketing materials, proposals and presentations for prospects and customers;

  • Inputs prospect and customer data into applications;

  • Provides word processing assistance as required;

  • Inputs information into agency management system;

  • Maintains inventory and coordinates ordering of all commonly used office supplies;

  • May conduct agency billing and process check requests;

  • Engages in optimal and appropriate usage of applicable agency management systems;

  • Other duties as assigned to support producer and service team.

QUALIFICATIONS

EDUCATION / EXPERIENCE

High school diploma or equivalent combination of education and experience

Up to 2 years related work experience

SKILLS

Good oral and written communication skills

Good customer service skills, including telephone and listening skills

Proficient in Microsoft Office Suite

Good problem solving and time management skills

Intermediate typing skills (30-35 wpm)

Ability to work within a team and to foster teamwork

Ability to prioritize work for multiple projects and deadlines

This position is that of a District Supervisor assigned to the Seattle District Office of the Employee Benefits Security Administration (EBSA). Serves as the point of contact for EBSA in the District Office. This position is outside of the bargaining unit. Learn more about this agency Responsibilities Supervises staff of investigators, auditors and support personnel; carries out all normal first-line supervisory responsibilities. The incumbent participates with the Regional Director, Deputy Regional Director and other regional managerial staff in developing annual and long-range work plans designed to produce an affirmative and aggressive enforcement program that will detect serious abuses in the administration of pension and welfare plans and violations of ERISA and related laws. Recommends and participates in the development and implementation of Regional and District Office policies, priorities, strategies, targeting systems, operating procedures, and budget and staffing requests. Participates in Regional Office program assessment activities and ensures compliance with Agency and Regional Office programmatic reporting requirements. Establishes and maintains contacts with officials of Federal and State agencies whose regulatory and enforcement efforts impact employee pension and welfare plans, labor organizations and management officials, the senior and executive staffs of financial institutions, and plan administrators and their legal and financial representatives. The purposes of these contacts are to understand the various programs administered by EBSA, promote compliance assistance, resolve identified problems, and coordinate enforcement or prosecution activities. Participates with the Regional Director and other managerial staff in developing work plans and budget for the Regional and District Offices. Provides recommendations to develop and implement policies and operating procedures for the Regional and District Offices. Performs and carries out delegated administrative and personnel management responsibilities for the Regional and District Offices. The incumbent works under the supervision of the Regional Director ( or Deputy Regional Director), who provides overall policy guidance. Within the broad framework of Departmental, EBSA, and Regional and District Office policies, the incumbent exercises a high degree of independence, judgment, and initiative with a minimum of direction in carrying out delegated responsibilities. Work performance is evaluated in terms of overall effectiveness in furtherance of EBSA and the Regional Office programs and conformity with established policies. For this position, specialized experience would include the provision of legal, auditing or accounting services, administration, development, analysis or oversight of complex laws such as ERISA, Federal securities laws, tax laws, banking laws or other financial service related laws. Specialized experience may have been gained in government, pension and health benefit plan administration, or a consulting firm, law firm, actuarial or accounting firm, labor union, health and pension trade association or research service, bank trust department, brokerage firms, insurance companies or investment firm. Examples of qualifying experience include: Experience as a compliance inspector, analyst, planner or investigator whose work related to the field of employee benefit plans and/or Federal and/or state financial regulatory statutes. Experience in closely related occupations involving specialized work directly involved in assessing or assuring finance-related regulatory compliance such as financial auditing, provided the experience clearly demonstrated the application of (1) knowledge of the laws, regulations and administrative procedures involved in assessing and assuring compliance and (2) skill in the use of techniques and methods for the identification and correction of regulatory violations. Professional legal work, a substantial portion of which required interpretation of Federal laws and legal requirements concerning health and pension plans or in such related fields as labor law, taxation, securities, real estate, corporations, trusts, bankruptcy, and investments. Professional auditing and accounting work that involved determining compliance with Federal and State laws governing health and pension plans, securities, banking, insurance or corporations. Analysis of Federal laws or regulations, or development of policy involving an employee benefit plan or a related function. In addition to the foregoing, to be considered minimally qualified, your application must demonstrate an indepth knowledge of ERISA. Supervisory or Managerial Abilities: Candidates must have demonstrated in their work experience or training that they possess, or have the potential to develop, the qualities or successful supervision.
